Job Description

Financial Coordinator - Orthodontic Practice Straight Set Orthodontics is a premier provider of orthodontic services in the New York Metropolitan Area. We always seek to "Go The Extra Smile" for our patients, and we are seeking a skilled Financial Coordinator to join our growing team! Position Summary The Financial Coordinator is responsible for managing the financial operations of the orthodontic practice. This includes overseeing patient accounts, administering the practice's financial policies, and ensuring timely collections. The ideal candidate will be a compassionate and organized professional with a strong understanding of financial principles and a commitment to providing excellent patient service. The ideal candidate should be able to work independently to manage their workload while also collaborating with clinical and administrative teams as necessary. This role requires full time, in-office work. This role serves 2 locations, and the Financial Coordinator will be required to work in our Lower East Side office, as well as our Harlem office on a weekly basis.
Key Responsibilities Financial Administration and Patient Accounts:
Serve as the primary point of contact for patient financial inquiries and concerns. Administer and enforce the practice's financial policies, ensuring they are applied consistently and fairly to all patients. Maintain accurate and detailed financial records for all patient accounts, including treatment plans, insurance submissions, and payment history. Process and post patient payments, including cash, checks, and credit card transactions.
Accounts Receivable and Collections:
Manage accounts receivable and proactively follow up on all past-due accounts through phone calls, emails, and text messages. Schedule and conduct financial consultations with patients to review and refinance delinquent accounts in accordance with company policy. Communicate with insurance companies to resolve billing discrepancies and ensure timely payment of claims. Generate and send monthly patient statements and collection letters.
Collaborative and Administrative Duties:
Collaborate with the clinical team to ensure accurate treatment plans are translated into financial contracts. Prepare and present collection reports to management on a regular basis. Assist with other administrative and financial duties as assigned.
Requirements Experience and Skills:
Strong attention to detail and a high degree of accuracy in managing financial records. Superior organizational, multi-tasking, and time management skills. Excellent written and verbal communication skills, with the ability to handle sensitive financial discussions with a professional and empathetic approach. Proficiency with Microsoft Office applications, particularly Excel, and experience with dental or orthodontic practice management software is a plus. Ability to reliably commute to, and work at, both the Lower East Side office and the Harlem office as dictated by the scheduling demands of each practice on a weekly basis. Candidates who are fluent in both English and Spanish will have a strong advantage for this role.

Strong problem-solving skills and a proactive approach to resolving financial issues. A high level of integrity and discretion when handling confidential patient information.
