The Role:
This position leads the daily operation of the SURC Accounting office and its various functions and services which include approximately 4,000 student transactions annually, maintaining an average $300,000 in student private funds and financial support to programs with a cumulative operating budget in excess of $3 million. Support includes financial analysis, reporting, accounting, and reconciliations for functional areas of the Student Leadership, Involvement, & Community Engagement (SLICE) Office, Ticketing, Student Union Operations, and University Recreation. Provides back-up support to S&A funded programs. Responsible for implementing, reviewing and adhering to all regulations and policies specific to SURC Accounting. Serves as the custodian for one petty cash fund, and is the lead resource for up the SURC Accounting office. The position has consistent contact with students, leaders of various student clubs, the campus community, S&A funded areas as well as members of the public. The position serves as a petty cash station for all areas in SLICE, clubs and programs housed within the SURC, requiring customer service for numerous departments. In addition, this position works with Accounts Payable, Payroll, Cashier's /Student Accounts office. This position directly affects the vision, mission, and values of Central Washington University by practicing and promoting responsible stewardship of our financial resources and through sustainable procedures that ensure the economic health of the university. Job Duties Program Support & Fiscal Transactions Serve as the petty cash custodian for the office which includes reconciliation and replenishment.
  • Process expense transfers, journals, invoices for payment, purchase requisitions, check requests, client refunds and student account adjustments.
  • Monitor, provide monthly report and disbursement journal for SURC Partners in compliance with the Partners Management Agreement.
  • Implement controls and methods for cash handling and policies and procedures to maintain compliance with WA State
OFM, CWU
standards and guidelines and Generally Accepted Accounting Principles (GAAP standards), including club private fund, and petty cash fund. Provides training and tools to ensure internal controls and reconciliation.
  • Monthly revenue allocation for areas supported by the SURC Accounting office including Wildcat Tickets, Publicity Center, and Scheduling Center.
  • Monthly reconciliations including clearing accounts, credit card activity, cash, and balance sheet accounts for all areas that are supported by the SURC Accounting office.
  • Ensures timely deposits and posting of revenue within the Financial Management System and performs monthly audit between the financial system and the University Recreation sub-system.
  • Serve as a back-up fiscal resource for S&A funded areas within the Student Union Recreation Center.
  • Maintain Receivable information for University Recreation and ensure compliance with State & University receivable policies.
  • Assist the Student Funds Financial Manager in the development of year
  • end financial statements for Student Funds, including reconciliation of transfers, cash, banks, clearing accounts and transactional data, year-end journals and reporting.
  • Ensure month end journals and processes are completed before the Accounting close including clearing accounts, and liabilities. Fiscal Operations for Student Clubs
  • Plan and present training sessions for clubs and student government officers on SURC accounting processes, travel, motor pool and facilities/equipment usage policies & procedures.
  • Implement policies, create training material and serve as a resource to students and clubs regarding university and state policy concerning student travel authorization and reimbursement, standard agreements, deposits and disbursements from club trust accounts, documentation requirements, and appropriate use of funds where state funds are awarded.
  • Monitor club activity and ensure reconciliation all student club ledgers (usually 150 to 175+ are active) with Financial Management System (FMS) records.
  • Reconcile the private, club bank activity with the Financial Management System (FMS) Records and the University bank. Submit wire payment requests between the CWU Bank and the Club bank to ensure separation of funds and appropriate recording of wires posted at Club Speedkey level.
  • Ensure all records related to club signers are updated annually. Lead Role for Office Staff
  • Provide guidance and regulatory support as it relates to fiscal activities to the SURC Accounting staff and SLICE. Performs monthly audits and reconciliations of work performed within the office and ensures all data has been processed according to policy and within subsystems.
  • Assigns work and coordinates duties and resources within the SURC Accounting office.
  • Participate in the interviewing and selection of applicants for hire and conduct trainings.
  • Drafts procedures manual, provides training and implements policy Other Duties as Assigned.
Minimum Qualifications Bachelor's degree in accounting or field appropriate to the area assigned AND significant accounting/fiscal experience OR seven years of accounting/fiscal experience OR an equivalent combination of experience, training and/or education Demonstrated customer service background Demonstrated experience performing complex technical fiscal analysis and reconciliations High attention to detail and accuracy Advanced working knowledge of Microsoft Excel and Word applications Knowledge of Generally Accepted Accounting Principles Excellent oral and written communication skills Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position Preferred Qualifications Cash handling experience PeopleSoft Experience Demonstrated leadership and teamwork background Higher education experience Demonstrated participation in programs designed to promote student success Demonstrated commitment to improving access to higher education for students through various activities

Pay, Benefits, & Work Schedule Salary :
This position is based on the range 55 of the Washington State Classification Listing, which has a minimum annual salary of $61,644 and maximum annual salary of $82,872. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.

Working Conditions :
Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
