Job Description
Core Responsibilities The Finance Manager handles day-to-day financial operations including bookkeeping, accounts payable and receivable, payroll, bank reconciliations, and management of the general ledger. They prepare monthly, quarterly, and annual financial statements for the head of school, board of trustees, and finance committee. Budgeting and Forecasting A major part of the role is developing the annual operating budget in collaboration with department heads and senior leadership. This includes forecasting tuition revenue, financial aid expenditures, staffing costs, facilities expenses, and capital projects. Ongoing variance analysis and cash flow projections are typical. Tuition and Enrollment Finance The Finance Manager oversees tuition billing, payment plans, collections, and the financial aid process. They work closely with admissions on enrollment contracts and with families on payment arrangements. Compliance and Reporting This includes ensuring compliance with nonprofit accounting standards, preparing for annual audits, filing Form 990, managing tax-exempt status requirements, and meeting any state regulatory requirements for independent schools. Vendor and Contract Management Managing relationships with vendors, negotiating contracts, and overseeing procurement policies. Support to Leadership and Governance The Finance Manager supports the board's finance and audit committees with reports, analyses, and recommendations. They help model tuition increases, salary scales, and long-range financial plans. The role includes benefits administration, risk management and insurance, endowment and investment tracking, fundraising/development accounting (restricted vs. unrestricted gifts), and oversight of auxiliary programs like summer camps or after-school care. Qualifications A bachelor's degree in accounting, finance, or business, with a CPA or MBA preferred. Experience with nonprofit accounting, fund accounting software, and familiarity with the independent school environment are valued.
