Job Description

Our tax and financial planning small business firm is seeking a Financial Service Administrative Manager for a year-round, part time position with seasonal full-time hours.
Key Responsibilities Financial Services:
  • Complete and process client financial forms and paperwork.
  • Review forms for accuracy, required information and signatures.
  • Track submitted paperwork and follow up on outstanding items.
  • Assist with new accounts, transfers, distributions, beneficiary changes and account updates.
  • Communicate with clients, the advisors and broker-dealer regarding paperwork and follow up.
  • Ability to pass background check & willingness to take Securities Industry Essential exam to complete financial planning forms
Office Manager:
  • Manage the day-to-day operations , including front desk activities, scheduling appointments
  • Maintain and update office calendars, ensuring efficient scheduling of appointments and meetings.
  • Handle phone systems, including answering calls, taking messages, and directing inquiries to the appropriate staff members.
  • Organize and maintain physical and electronic files, ensuring accurate record-keeping and easy retrieval of information.
  • Demonstrate excellent phone etiquette and customer service skills when interacting with clients, staff, and external sales.
  • Collate and mail out tax returns Tax Season Support During tax season, the office manager will provide administrative support, including
  • Assisting with tax office workflow and client communication
  • Collating and assembling completed tax return
  • Obtaining required signatures & preparing completed returns for client delivery and mailing. Tax preparation experience is not required What we are looking for:
  • Previous experience in financial services, banking or insurance a plus
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Proficient in Microsoft Office software & comfortable learning new software.
  • Excellent communication skills, both verbal and written.
  • Financial services, banking, insurance experience a plus but not required.

May:
Monday-Friday 9:00am-1:00pm
June-August:
Monday-Thursday 9:00am-1:00pm
September-January:
Monday-Friday 9:00am-1:00pm
