This role will supervise the company's bookkeeper and be responsible for ensuring that accounting records, payments, deposits, reconciliations, payroll-related activity, and financial reporting are accurate and completed on time. The Finance & Accounting Manager will serve as the primary internal finance contact for management and will be expected to understand both the daily movement of money through the business and the larger financial picture. This is not a purely supervisory position. The successful candidate must be comfortable personally managing daily financial transactions while also reviewing and directing the work of the bookkeeping function. Key ResponsibilitiesDaily Financial Operations Manage and review daily banking activity. Process and oversee vendor payments and other business disbursements. Review and approve invoices for payment. Monitor incoming customer payments and deposits. Track daily cash balances and available funds. Manage transfers between company accounts as needed. Review company credit card activity and supporting documentation. Monitor loan, equipment, insurance, factoring, and other recurring payment obligations. Ensure financial transactions are properly documented and recorded. Identify and investigate unusual or incorrect transactions promptly. Accounting & Bookkeeping Oversight Directly supervise the company bookkeeper. Assign and prioritize bookkeeping responsibilities. Review bookkeeping entries for accuracy and proper classification. Ensure accounts are reconciled accurately and timely. Review the general ledger and correct discrepancies. Maintain the company's chart of accounts and accounting structure in QuickBooks Online. Establish clear accounting procedures and recurring deadlines. Ensure financial records remain current and organized. Accounts Payable Manage the company's accounts payable process. Review invoices and supporting documentation. Schedule and process vendor payments. Monitor vendor balances and outstanding obligations. Resolve billing discrepancies with vendors. Maintain visibility into upcoming payment requirements. Ensure appropriate approvals are obtained before payments are issued. Accounts Receivable Monitor accounts receivable and customer balances. Review aging reports and follow up on overdue amounts. Reconcile incoming customer payments. Monitor factoring activity, reserves, deductions, chargebacks, and related transactions. Work with billing and operations personnel to resolve invoicing discrepancies. Identify uncollected revenue or billing issues requiring escalation. Cash Flow Management Monitor the company's daily cash position. Maintain short-term cash-flow projections. Identify upcoming funding needs and large obligations. Communicate cash requirements and potential concerns to management. Assist leadership with prioritizing payments and financial commitments. Maintain visibility into payroll, insurance, equipment, fuel, vendor, and other major cash requirements. Financial Reporting Review and finalize monthly financial statements, including: Profit & Loss Statement Balance Sheet Cash Flow reporting Accounts Receivable aging Accounts Payable aging Analyze financial results and explain material variances or trends. Provide management with clear, concise financial reporting. Identify areas of financial risk, excessive spending, or declining profitability. Assist management with budgeting and forecasting. Payroll Oversight Coordinate and review payroll-related financial activity. Review payroll reports for accuracy. Ensure sufficient funding is available for payroll. Review payroll-related entries, deductions, reimbursements, and adjustments. Maintain appropriate controls around payroll processing and approval. Transportation Financial Management Monitor major trucking-related expenses, including: Fuel Driver payroll Repairs and maintenance Insurance Equipment payments Permits and registrations Factoring expenses Vendor and contractor expenses Assist management with evaluating truck and fleet profitability. Develop reporting that improves visibility into operating costs and margins. Identify financial trends that may indicate operational issues. Work with operations staff to reconcile financial records with business activity. Internal Controls & Process Improvement Establish and maintain financial controls around payments, banking, payroll, and bookkeeping. Create standardized accounting procedures and recurring checklists. Improve month-end close and reconciliation processes. Ensure appropriate segregation of duties between preparation, processing, and review. Identify inefficiencies and implement stronger accounting workflows. Maintain organized documentation that allows financial processes to continue without dependency on one employee. External Financial Coordination Serve as a primary contact for the company's CPA and outside financial professionals. Coordinate documentation for year-end accounting and tax preparation. Assist with financial information required for insurance renewals, premium audits, lenders, and financing. Prepare and review financial documentation requested by outside parties. Supervisory Responsibilities The Finance & Accounting Manager will directly supervise the company bookkeeper.
Responsibilities include:
Assigning daily and recurring accounting responsibilities. Reviewing completed bookkeeping work. Establishing deadlines and standards. Training and coaching staff. Resolving accounting discrepancies. Ensuring accountability for timely and accurate completion of assigned work. QualificationsRequired 5+ years of accounting or finance experience. Experience handling daily business transactions and cash activity. Experience supervising or reviewing bookkeeping/accounting work. Strong proficiency in QuickBooks Online. Strong knowledge of accounts payable, accounts receivable, reconciliations, and general ledger accounting. Ability to read and analyze Profit & Loss Statements and Balance Sheets. Experience managing or monitoring cash flow. Strong Excel or Google Sheets skills. Strong attention to detail. Ability to independently investigate discrepancies. Strong organizational and time-management skills. Ability to manage multiple recurring financial deadlines. High degree of integrity and discretion. Preferred Bachelor's degree in Accounting, Finance, Business Administration, or related field. Previous Accounting Manager, Finance Manager, Assistant Controller, or similar experience. Transportation, trucking, logistics, freight brokerage, construction, or other asset-heavy industry experience. Experience working with factoring companies. Experience with payroll oversight. Experience improving accounting controls and processes. Ideal Candidate The ideal candidate is both hands-on and analytical . We need someone who is comfortable processing the financial activity of the business each day, but who can also step back and understand what that activity means for the company.
This person should:
