Job Description
Position Summary:
The Finance Manager is a key member of the CJC Administrative Team and works closely with the Executive Director, HR personnel, CPA and Board Treasurer to ensure the accurate, timely, and organized management of CJC's day-to-day financial operations. The Finance Manager is responsible for accounting operations, reconciliations, invoicing, accounts payable and receivable, payroll, grant and contract tracking, financial reporting, and audit support. The position works within CJC's established financial policies, procedures, and internal controls, with appropriate review and oversight by the Executive Director, CPA, and Board.Key Responsibilities:
Accounting & Financial Operations- Manage day-to-day accounting activities, including accounts payable, accounts receivable, invoicing, deposits, reimbursements, vendor payments, and general ledger transactions.
- Maintain accurate financial records and complete timely bank and account reconciliations.
- Prepare monthly and quarterly financial reports, including income and expense statements, balance sheets, and budget-to-actual reports.
- Maintain, safeguard, and organize financial records, checks, payroll and tax documents, banking records, contracts, and other confidential financial materials, ensuring secure physical and electronic storage and authorized access.
- Maintain organized schedules and tracking systems for recurring financial obligations, including payroll, taxes, vendor payments, invoices, grant reporting, reconciliations, and other deadlines, ensuring timely completion and appropriate follow-up. Payroll
- Process and run payroll via Gusto in collaboration with HR and Executive Director, ensuring accurate employee information, approved compensation, deductions, benefits, and timely payroll processing.
- Coordinate with HR on personnel changes affecting payroll and maintain accurate payroll records.
- Support timely payroll tax filings and payments and prepare required 1099 records and schedules. Grants & Contracts
- Track revenues and expenditures by grant, contract, program, and funding source, including restricted funds.
- Ensure grant and contract expenses are accurately coded, documented, and recorded.
- Maintain supporting documentation and prepare financial reports required by funders and contracting agencies.
- Coordinate with program staff to ensure timely and accurate grant reporting. Reporting & Audit Support
- Prepare accurate financial information and reports for the Executive Director, CPA, Finance Committee, and Board Treasurer.
- Identify discrepancies, unusual transactions, or missing documentation and promptly bring them to the appropriate supervisor or CPA for review.
- Coordinate financial documentation, reconciliations, schedules, and other materials required for annual audits and financial reviews.
- Support preparation of required financial and tax documentation in coordination with the CPA. Compliance & Collaboration
- Follow CJC's established financial policies, procedures, internal controls, segregation-of-duties requirements, and document-retention practices.
- Promptly escalate financial discrepancies, payroll issues, or potential compliance concerns to the appropriate leadership or CPA.
- Work collaboratively with leadership, HR, program staff, auditors, funders, and external partners to support accurate and timely financial operations.
- Maintain confidentiality and exercise sound judgment in handling financial and personnel information.
- Perform other related financial duties as assigned.
What You Bring:
Required Experience and Skills:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant experience.
- Three to five years of hands-on accounting experience, preferably in a nonprofit organization.
- Experience managing multiple grants, contracts, restricted funds, and funding sources.
- Strong experience with reconciliations, accounts payable and receivable, invoicing, payroll, and financial reporting.
- Working knowledge of nonprofit accounting principles and GAAP.
- Experience preparing financial documentation for audits and funder reporting.
- Proficiency with Aplos, QuickBooks, or a similar accounting system.
- Strong Excel or Google Sheets skills.
- Exceptional attention to detail, accuracy, organization, and follow-through.
- Exceptional organizational and time-management skills, with the ability to track multiple financial deadlines, prioritize competing responsibilities, and ensure payments, filings, reports, and other obligations are completed accurately and on time.
- Ability to identify discrepancies and appropriately escalate financial or compliance concerns.
- Strong communication, collaboration, and confidentiality skills. Preferred
- Experience with government grants, foundation funding, and service contracts.
- Experience with nonprofit fund accounting and restricted funds.
- Experience working with external CPAs and auditors.
- Familiarity with California nonprofit financial requirements.
- Proficiency with Gusto payroll system.
Working Conditions & Physical Requirements:
- Primarily indoor environments at the CJC office, libraries, schools, community centers, etc.
- Tasks include standing, sitting, kneeling, stooping, reaching, lifting, grasping, and frequent computer use.
- Ability to see, hear, and communicate effectively.
Physical Demands:
- Work indoors, with tasks requiring standing, sitting, kneeling, stooping, reaching, lifting, grasping, and fine motor skills.
- Ability to see (near and far) for reading and computer work and hear and speak for conversations and telephone communication.
Pay:
$33.00 - $35.00 per hour Expected hours: 20.0 per weekBenefits:
