Job Description
Job Overview We are a commercial janitorial company providing cleaning and facility services throughout the Denver metro area. We employ a large field-based workforce of cleaners, crew leads, and operations managers who service multiple customer locations each day and evening. We are seeking a bilingual Office Manager / Accounting & Operations Coordinator to support the daily administrative, accounting, and operational needs of our company. This position serves as an important link between our office, accounting department, operations managers, and field employees. The ideal candidate is organized, comfortable working with numbers and employees, and willing to take initiative when something needs attention. This role does not require an accounting degree, but candidates should be comfortable working with payroll, invoicing, schedules, spreadsheets, employee paperwork, and general office administration. Primary Responsibilities Office Administration Manage day-to-day administrative needs of the office. Maintain organized employee, customer, payroll, and operational records. Answer phones and assist employees and managers with general office needs. Order and maintain office supplies. Assist with correspondence, documents, spreadsheets, and other administrative projects. Help keep office processes organized and on schedule. Operations & Employee Scheduling Maintain and update employee and crew schedules for multiple customer accounts. Work directly with operations managers regarding staffing changes, call-offs, new employees, and account schedules. Assist managers with schedule changes and communicate updates as needed. Help maintain accurate employee assignments and account staffing information. Identify scheduling or payroll information that appears unusual or inconsistent and communicate questions to the appropriate manager. Payroll & Accounting Support Work closely with the Accounting Manager to prepare and review payroll information. Assist with employee hours, extra pay, payroll changes, and other payroll documentation. Review payroll information for completeness and communicate questions or discrepancies before payroll is processed. Assist with customer invoicing and billing information. Help gather information needed for accounting, insurance audits, and other financial or administrative reporting. Maintain communication between Accounting and Operations when additional information or clarification is needed. Operations Manager Support Meet regularly with operations managers to assist with office and administrative needs.
Help managers with:
Payroll paperwork Employee schedules New-hire paperwork Employee changes Termination paperwork Account and staffing information Other administrative needs Follow up on missing paperwork or information and help ensure items are completed on time. Hiring & Employee Administration Assist with new-hire paperwork and employee onboarding. Help ensure employee information is entered and maintained accurately. Assist managers with employee changes and termination documentation. Communicate with English- and Spanish-speaking employees regarding paperwork, schedules, and other administrative needs. Technology & Systems Candidates should be comfortable using computers and learning online systems.This position regularly uses:
Microsoft Office Microsoft Excel Microsoft Word Microsoft Outlook Paycor online payroll and HR system Email and online scheduling/document-management systems General working knowledge of Excel and Word is required. Advanced Excel or accounting experience is helpful but not required. Qualifications Fluent in both English and Spanish. Strong organizational and communication skills. Comfortable working directly with managers and field employees. General understanding of payroll, invoicing, or accounting administration preferred. Experience with Microsoft Excel and Word. Ability to manage multiple responsibilities and deadlines. Strong attention to detail. Comfortable asking questions and following up when information is incomplete. Ability to handle confidential employee and financial information appropriately. Previous office management, administrative, payroll, HR support, or accounting support experience preferred. Experience supporting a field-based workforce or service company is a plus.Pay:
