Job Description

Position Overview Iron Horse Equipment is seeking a high-level Financial Operations Manager to take full ownership of our day-to-day financial infrastructure. This is not a basic bookkeeping role—this position is responsible for managing the flow of money through the business, maintaining accurate financial records, and bringing structure, visibility, and accountability to our financial operations. The ideal candidate is detail-oriented, proactive, and capable of operating independently. You will play a critical role in ensuring the financial health of a fast-growing equipment dealership and rental company. Key Responsibilities Financial Management & Bookkeeping Own and manage all bookkeeping functions within QuickBooks Maintain accurate, up-to-date financial records Reconcile bank accounts, credit cards, and financing accounts Ensure clean, audit-ready books at all times Manage the processing and collection of all manufacturer rebates Accounts Receivable (AR) Manage invoicing and collections process Monitor outstanding balances and proactively follow up on overdue accounts Improve cash flow through disciplined AR management Accounts Payable (AP) & Bill Pay Process vendor invoices and manage outgoing payments Ensure bills are paid accurately and on time Maintain strong relationships with vendors and suppliers Cash Flow Oversight Track and manage daily cash flow (money in vs. money out) Provide visibility into financial position and upcoming obligations Support leadership with financial insights and reporting Product Registrations & Rebates Manage all equipment registrations with manufacturers Submit and track rebates to ensure no lost revenue Maintain organized records of all submissions and payments What Success Looks Like Books are accurate, current, and audit-ready at all times Cash flow is clearly tracked and communicated AR is tightly managed with minimal aging Bills are paid on time with zero errors No missed rebates or registrations Ownership has full confidence in financial visibility Qualifications 3-7+ years of bookkeeping or financial operations experience Strong experience with QuickBooks Proven experience managing both AR and AP independently High attention to detail and strong organizational skills Ability to operate without constant oversight Experience in construction, equipment, or a service-based business is a plus Compensation Base salary depends on experience Performance-based bonus tied to: AR performance (collections & aging) Accuracy of financials Timeliness of reporting Rebate capture Why Join Iron Horse Equipment Fast-growing, locally owned business with strong reputation High level of responsibility and autonomy Direct impact on company performance and growth Opportunity to build and improve financial systems
