Job Description
Role Overview The Booking Manager is a pivotal, client-facing role that combines hands-on bookkeeping expertise with business development responsibility. This is not a back-office-only position — the ideal candidate understands the full accounting cycle, can speak fluently about our service offerings, and has the confidence to convert prospects into long-term clients. You will manage client accounts, oversee bookkeeping workflows, process payroll, and actively contribute to revenue growth. Key Responsibilities Client Acquisition & Service Sales Conduct consultations with prospective clients, clearly articulating the value of Limitless Tax's bookkeeping, payroll, and accounting packages Convert inbound inquiries and appointment requests into signed engagements Identify upsell and cross-sell opportunities — e.g., clients using only tax prep who would benefit from monthly bookkeeping or payroll services Build and maintain a pipeline of small business and individual clients through referrals, networking, and follow-up Communicate service scope, pricing, and deliverables with confidence and professionalism in both English and Spanish Bookkeeping & Accounting Maintain accurate general ledgers for assigned client accounts using cloud-based accounting software (QuickBooks Online, Xero, or similar) Record and reconcile all financial transactions including A/R, A/P, cash receipts, disbursements, and bank/credit card statements Prepare and review monthly, quarterly, and year-end financial statements — income statement, balance sheet, and statement of cash flows Post and review journal entries including accruals, adjusting entries, prepaid amortization, and depreciation Perform month-end close procedures and deliver timely client-ready reporting packages Manage chart of accounts and ensure proper classification of expenses and revenues in accordance with GAAP Payroll Administration Process multi-state payroll for small business clients using payroll platforms (Gusto, ADP, QuickBooks Payroll, or equivalent) Calculate gross-to-net pay including federal and state withholdings, FICA, garnishments, and voluntary deductions Ensure timely payroll tax deposits and compliance with IRS Form 941, 940, and
W-2/1099
filing requirements Manage new hire setup, direct deposit enrollment, and payroll change requests on behalf of clients Tax Support & Compliance Liaison Coordinate with Limitless Tax's licensed tax preparers to deliver clean, organized books in advance of tax season Flag potential tax implications from bookkeeping activity (e.g., unreported income, deductibility concerns, estimated tax exposure) Support preparation of supporting schedules for business returns (Schedule C, S-Corp, LLC) Assist clients with record-keeping best practices and IRS/state compliance questions as they relate to bookkeeping Operations & Client Management Serve as the primary point of contact for assigned bookkeeping clients — responsive, professional, and proactive Manage client onboarding including data migration, software setup, and opening balance entry Monitor accounts receivable aging for the firm and follow up on outstanding client invoices Maintain organized digital client files within our practice management platform (TaxDome) Train or mentor junior bookkeeping staff or administrative support as the team grows Qualifications Required 3+ years of hands-on bookkeeping or accounting experience, preferably in a multi-client or public accounting firm environment Demonstrated ability to prepare and analyze financial statements (P&L, balance sheet, cash flow) Strong command of debits and credits, the accounting cycle, and GAAP principles Proficiency in QuickBooks Online (certification preferred) or comparable accounting software Working knowledge of payroll processing and payroll tax compliance Proven ability to communicate accounting concepts clearly to non-accountant business owners Sales-oriented mindset — comfortable presenting services and closing new client engagements High attention to detail, strong organizational skills, and ability to manage multiple client accounts simultaneously Bilingual proficiency in English and Spanish (written and spoken) strongly preferred given our client base Preferred Associate's or Bachelor's degree in Accounting, Finance, or a related field QuickBooks ProAdvisor certification or equivalent platform credentials Familiarity with tax preparation workflows (individual or business returns) and basic tax planning concepts Experience with TaxDome, Gusto, ADP, or similar practice management and payroll platforms Prior experience in a tax firm, CPA office, or full-service bookkeeping practicePay:
