Job Description
Job Summary The Association Accounting Manager serves as the Association's primary accounting professional and is responsible for maintaining accurate financial records, supporting sound internal controls, administering contracts and procurement documentation, and providing timely accounting support to the Board of Directors. This position works collaboratively with the Community Association Manager (CAM), CPA, legal counsel, banking partners, vendors, and owners while ensuring the Association's financial records are complete, accurate, and maintained in accordance with Association policies and applicable Florida requirements. Duties Accounting & Financial Records Maintain accounting records for the Community Association and Towers 1-4. Maintain operating, reserve, investment, insurance, and special-purpose accounts. Record journal entries and maintain due-to/due-from balances. Maintain complete supporting documentation and organized financial records. Accounts Payable & Receivable Process owner payments and maintain owner account records. Receive, review, approve for processing, and pay vendor invoices. Maintain vendor files, W-9s, insurance certificates, and recurring payment schedules. Monitor delinquent accounts and assist with collection activities. Reserve, Audit & Compliance Track reserve expenditures and capital projects. Assist with annual audits, tax filings, and regulatory reporting. Maintain records in accordance with Florida condominium record-retention requirements. Procurement & Contract Administration Prepare RFPs, bid packages, bid comparison summaries, and contract documentation. Review invoices against approved contracts and pricing. Maintain contract calendars, renewals, and supporting documentation. Coordinate with legal counsel on contract matters as directed by the Board. Administrative Support Attend Board and committee meetings as requested. Support special accounting and administrative projects. Perform other duties assigned that are in the best interest of Long Beach Resort Community Association and consistent with the responsibilities of this position. Drive continuous improvement initiatives Qualifications Minimum three (3) years of accounting or financial management experience. Demonstrated proficiency with QuickBooks, AppFolio, Microsoft Excel, and Microsoft Office. Experience with accounts payable, accounts receivable, reconciliations, general ledger maintenance, and audit support. Active Florida Community Association Manager (CAM) License a plus Bachelor's degree in Accounting, Finance, Business Administration, or a related field. Experience with reserve accounting, procurement, and contract administration.
