Job Description
Accounting & Office Manager Privately owned and founded in the Midwest in 2011, Heritage Building Maintenance is based in central Iowa and serves commercial clients with the highest-quality cleaning and microbial protectant on the market today. Heritage goes the extra mile by using science to prove the efficacy of our system for use in office settings and medical and recreational facilities. In 2022, Heritage was acquired by Bee-Clean Building Maintenance , Canada's largest privately held janitorial company. While operations remained the same, this partnership opened the doors for continued growth and success in our industry. WAGE:
This will be a salary, exempt position. Annual salary will be between $50,000-$60,000, based on qualifications and experienceSCHEDULE
Schedule may vary based on business need. This position is considered a 40 hours per week position. Flexibility with schedule is possible.LOCATIONS
This position will be in the office of Heritage Building Maintenance.JOB SUMMARY
The accounting assistant will provide direct support to the President & Head of Finance by owning the day-to-day accounting and office operations. This role requires someone who is detail-obsessed, self-directed, and intuitive enough to anticipate what's needed without being told twice. This position would catch errors before they become problems. They wouldn't wait to be told what's next. They take pride in a job done right.ESSENTIAL JOB FUNCTIONS
Prepare and process daily bank deposits; ensure records are accurate and reconciled to source documents Manage accounts payable: verify invoices, enter bills, process payments, maintain vendor files Manage accounts receivable: apply payments, monitor aging, follow up on outstanding balances Generate and send invoices accurately and on schedule Maintain organized financial files and records (digital and physical) Manage office operations: vendor relationships, organization and general upkeep.Handle general office clerical duties:
mail, phones, filing, data entry Communicate with vendors and customers to resolve billing or payment questions Flag discrepancies or anything that looks "off" proactively Support light administrative needs for leadership as they arise.KNOWLEDGE, SKILLS & ABILITIES
3+ years' experience in bookkeeping, accounting support, or office administration Strong proficiency in accounting software and Microsoft Office (especially Excel) Exceptional attention to detail, not "good," exceptional High work ethic and reliability; you show up and follow through Ability to work independently, anticipate needs, and problem-solve without constant direction Strong organization skills and ability to manage multiple priorities. Discretion with confidential financial information Clear communication skillsQUALIFICATIONS
- Must be 18 years of age or older.
- Must be legally authorized to work within the United States.
- High School Diploma or GED preferred.
- Valid driver's license is required.
- Must be willing to submit to all criminal background check(s) required by company/clients.
