Job Description

Finance & Member Services Manager Part-Time (20-25 Hours Per Week) $34 - $36 per hour, based on experience Position Summary Colonial Figure Skating Club, Inc. (CFSC) is seeking a highly organized, technologically savvy, and detail-oriented Finance & Member Services Manager to oversee the Club's financial operations and front-office member services. This role combines bookkeeping, financial reporting, payroll processing, and accounting oversight with member support, office management, and supervision of customer service staff. The ideal candidate is comfortable managing financial systems while also serving as a welcoming and responsive point of contact for members and prospective members. The Finance & Member Services Manager serves as a key resource for members, staff, coaches, and Club leadership, helping to ensure the efficient operation of the organization while supporting the Club's mission and strategic goals. Core Qualifications Proficiency in QuickBooks Online and a strong understanding of general accounting principles and practices (required). Experience with payroll administration and payroll processing systems; experience with Paychex is preferred. Demonstrated knowledge of accounts payable, accounts receivable, bank reconciliations, budgeting, and financial reporting. Strong technology skills with the ability to quickly learn and adapt to new software platforms and systems. Ability and willingness to become proficient in CFSC's club and rink management software (Halix). Excellent written, verbal, and interpersonal communication skills. Strong organizational, analytical, and problem-solving abilities with exceptional attention to detail. Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment Professional, approachable, and member-focused demeanor with a commitment to providing outstanding customer service. Ability to handle confidential financial, personnel, and member information with discretion and professionalism. Experience working in a nonprofit, membership-based, recreational, or sports organization is preferred. Proficiency in Microsoft Office, including Excel, Word, and Outlook. Financial & Bookkeeping Responsibilities Monitor and record all financial transactions Manage accounts payable and accounts receivable Prepare and process payroll Maintain cash flow oversight Perform monthly bank and credit card reconciliations Assist the General Manager in developing and improving financial systems and internal controls Prepare monthly financial reports for the Board of Directors, including commentary and analysis Maintain organized financial records, reports, and files Ensure compliance with accounting policies, procedures, and federal/state requirements Assist with annual audit preparation in coordination with external accountants Support Program Directors and Event Chairs with budgeting and expense tracking Perform ad hoc financial reporting and analysis as needed Member Services & Office Management Responsibilities Serve as primary point of contact for member and prospective member inquiries Assist members with registration, billing, and account questions Oversee use of the club management system, including: Ice booking, Program and class registration, Payment tracking, Account troubleshooting Ensure accurate tracking of attendance and payments Supervise Member Services Team staff, including scheduling, training, and task delegation Oversee day-to-day front office operations Greet and assist visitors Maintain office organization, procedures, files, and supplies Receive and distribute mail Assist with club-wide communications in collaboration with the General Manager and Marketing Director Support marketing promotions and member engagement initiatives Maintain volunteer and member databases Work Schedule This is a part-time position requiring approximately 20-25 hours per week. The position is performed in person, Monday through Friday, during regular business hours. Typical work hours will be either 11:00 a.m. to 3:00 p.m. or 12:00 p.m. to 4:00 p.m., as determined by operational needs. Reporting Structure This position reports directly to the General Manager and works in partnership with the Board of Directors and Program Directors to ensure the effective administration and operation of the Club.
Pay:
$34.00 - $36.00 per hour Expected hours: 20.0 - 25.0 per week
