Position Overview We are seeking a Finance/HR Manager to own the day-to-day financial operations and human-resources administration of our business. Reporting directly to the President and supervising the bookkeeper, this role is responsible for keeping the books accurate and current in QuickBooks, producing the weekly cash-flow reporting leadership relies on, running payroll through ADP, and administering employee benefit plans. The ideal candidate is resourceful, adaptable, and able to work through system changes while keeping recurring deadlines on track. Core Responsibilities Accounting & General Ledger (QuickBooks) Reconcile credit cards, bank, and bank-loan accounts monthly Record monthly bank-loan interest entries Post recurring journal entries (biweekly and monthly), including accumulated depreciation, rent, utilities, inventory adjustments etc. Process vendor bill payments online (approximately 45 per month) Support A/R collections by generating customer statements (in coordination with the VP) Supervise the bookkeeper and review their work for accuracy Cash Flow & Financial Reporting Produce the weekly cash-flow workbook and executive dashboard Generate supporting weekly reports from
QuickBooks:
Sales by Customer Detail, Balance Sheet, Transaction Detail by Account, and Open Sales Orders by Customer Prepare and submit quarterly financial statements to satisfy loan covenants Payroll Administration (ADP) Process payroll each pay period, including the payroll-hours report and payroll-detail uploads Post payroll GL entries to QuickBooks Oversee automated payroll-tax processing and year-end W-2 distribution Process employee changes (new hires, terminations, rate changes, deductions) Benefits & 401(k) Administration Administer employee additions, changes, and terminations across medical (Preferred One), life/disability (Principal), and dental (Delta Dental) Coordinate annual renewals with all benefit carriers, including rate review and open enrollment Administer the 401(k) plan, including participant reporting and the annual Form 5500 compliance filing HR Generalist Support Partner with leadership on onboarding, offboarding, and other HR-administration needs as they arise Serve as the first point of contact for employee questions on pay, benefits, and HR policy Required Qualifications 2+ years of proven experience in accounting/finance, ideally in a manufacturing setting Experience/knowledge of basic HR functions such as onboarding and payroll Intermediate to advanced Excel skills for cash-flow modeling, reporting, and ad-hoc analysis Preferred Associate's or bachelor's degree in accounting, Finance, Business Administration, or a related field Demonstrated proficiency in QuickBooks (reconciliations, journal entries, recurring transactions, reporting) Hands-on payroll experience: ADP preferred, Paychex or comparable platforms accepted Prior experience supervising bookkeeping or administrative staff Experience working alongside an ERP/MRP system in a manufacturing or distribution environment Formacoat is an equal opportunity employer.
