AFG Distribution Inc. Accounting Manager Full-Time Permanent Reports to CEO Team of 4 About AFG Distribution AFG Distribution is a U.S. based B2B and direct-to-consumer distribution company in the smoking accessories and alternative products space. Our core systems include NetSuite OneWorld, ADP, Avalara, and Google Workspace. We are a margin-first, operationally disciplined organization that values independence, efficiency, critical thinking and continuous improvement. We are a relatively lean and collaborative team. This position carries real authority, accountability and access to privileged information, which must be recognized as such and treated accordingly. Our goal is to find someone who will thrive in that environment. The Role This is the senior financial leadership role at AFG Distribution. You will own the company's most complex and compliance-sensitive financial obligations, such as multi-state payroll, sales tax, regulated excise tax, banking, audits and external reporting, all while providing direct management oversight of our AR and AP teams. This is a hands-on leadership role that will require not only the ability to oversee and guide but actively contribute. We are looking for someone who meets compliance deadlines without excuse, builds and documents processes and leads by example. You will be stepping into a well-run department with a strong, experienced team. Plan for a structured transition from a long-serving and flexible Accounting Manager who has grown with the business and is retiring on excellent terms. Key Responsibilities Banking & Treasury Manage and reconcile four corporate bank accounts on a daily basis Own EFT template creation and initiate fund requests on the bank platform for customers on EFT terms Distribute financial data to AR and AP teams; post miscellaneous bank and financial data not handled by AP or AR Supervise and develop AR and AP Supervisors Payroll & Payroll Tax Compliance Process and reconcile bi-weekly payroll for all U.S. employees via ADP Ensure compliance with federal payroll tax obligations and payroll tax obligations across five states File EEOC reports and manage ACA / Form 1095 annual filings Sales Tax & Tobacco Tax Compliance Verify and approve sales tax filings across all applicable states; manage document records and state DOR notices Prepare and file tobacco tax returns by state; manage all associated documentation and notices Human Resources (Accounting-Adjacent) Manage employee records, onboarding and terminations in ADP Reconcile employee benefit buy-up costs against carrier billing quarterly Manage open enrolment in ADP and NFP in coordination with HR Audit Management & External Relationships Lead 401(k) audit preparation and serve as primary liaison with the plan auditor Manage sales tax, tobacco tax and insurance audit processes File Secretary of State annual reports across applicable states Compile and remit all financial documents to the external accounting firm for corporate tax return preparation Manage related Hold Co / Landlord expense payments and property tax reconciliation Departmental Management & Reporting Provide direct management and performance oversight of the AR and AP teams Compile and distribute monthly financial reporting Own annual budget creation, monitoring and variance reporting (limited in scope to essentials) Facilitate departmental goal-setting Role at a Glance Reports To Chief Executive Officer Direct Reports AP Supervisor, AR Supervisor Team Size Four (including supervisors) Payroll Cadence Bi-weekly via ADP Systems ADP, NetSuite OneWorld, Avalara, Google Workspace Tax Jurisdictions Federal + five states (payroll, sales tax, tobacco excise) Audit Obligations 401(k), sales tax, tobacco tax, insurance (annual) Qualifications & Requirements Required Five+ years of accounting experience, with at least two years in an accounting manager or equivalent role Demonstrated experience with multi-state payroll processing and payroll tax compliance Hands-on experience with ADP or equivalent payroll platform Direct experience with sales tax compliance across multiple U.S. states Proven ability to manage a small accounting team (AR and/or AP functions) Strong working knowledge of EFT/ACH processes and bank reconciliation Experience managing external audit processes (any type) High proficiency in Excel and Google Sheets; comfort with ERP systems (NetSuite preferred) Ability to meet hard regulatory deadlines Strongly Preferred Experience with NetSuite OneWorld Experience with tobacco excise tax filing in one or more U.S. states Familiarity with ACA / Form 1095 filing requirements Experience with Secretary of State annual filing processes across multiple states Prior experience in wholesale distribution, consumer products or a regulated product category What to Expect You will step into a structured transition with a retiring Accounting Manager who has more than 17 years of institutional knowledge and is committed to a thorough handoff. You will have direct access to the CEO and CEO's contributor, clear authority over your department and a capable, tenured team underneath you. This is not a role for someone who wants to manage from a distance. It is a role for someone who wants to own something and make it better. Applications are reviewed on a rolling basis. We are targeting a start date that allows for meaningful overlap with the outgoing Accounting Manager so early applications are encouraged.
Pay:
$78,000.00 - $82,000.00 per year
