Job Description
Position Overview The Controller will oversee day-to-day accounting operations, cash flow tracking, check registers, financial accuracy, internal controls, software workflows, and accounting team oversight across multiple related companies and real estate entities. A major part of this role will be managing cash flow and executing management-approved capital plans across all entities. Management will set the overall capital plans, priorities, and strategic direction. The Controller will be responsible for carrying those plans out through accurate check register management, payment timing, transfers, reimbursements, reconciliations, and ongoing communication. The Controller will maintain and review 50+ check registers/spreadsheets , all managed in Google Sheets . The company also uses Yardi Breeze Premier extensively, and experience with Yardi Breeze Premier is strongly desired. QuickBooks experience is also strongly desired. This is not a simple bookkeeping role. We need someone who can own the details, manage people, solve problems, improve systems, execute cash flow plans, and keep the financial side of a fast-moving company organized.
Key Responsibilities:
Cash Flow, Check Registers & Capital Plan Execution Manage day-to-day cash flow across all entities by tracking available cash, expected inflows, upcoming obligations, planned capital expenditures, transfers, reimbursements, debt payments, vendor payments, payroll-related expenses, and other cash needs. Maintain and review 50+ check registers/spreadsheets in Google Sheets . Execute management-approved capital plans across multiple companies and real estate entities. Coordinate timing of payments, transfers, reimbursements, and capital expenditures based on approved plans and available cash. Identify duplicate payments, missing entries, incorrect coding, cash shortfalls, timing issues, or irregular activity. Communicate cash flow concerns, shortfalls, excess cash, timing issues, or conflicts between planned payments and available funds. Help improve spreadsheet templates, tracking tools, workflows, and internal controls Work with the Property Management team to offer insight on rental prices and strategies to drive value creation. Yardi Breeze Premier, QuickBooks & Accounting Systems Use Yardi Breeze Premier heavily for property management accounting, tenant ledgers, rent activity, owner/property accounting, payables, receivables, and reporting. Use QuickBooks for accounting activity across certain operating companies and related entities. Maintain accurate records between Yardi, QuickBooks, bank accounts, Google Sheets, and internal tracking systems. Troubleshoot accounting issues within Yardi, including tenant ledger questions, charges, payments, corrections, and reporting discrepancies. Help improve software workflows and train team members on proper accounting procedures within Yardi, QuickBooks, Google Sheets, and related systems. Accounting Operations & Financial Controls Oversee daily accounting operations across multiple companies and real estate entities. Manage and review accounts payable, bill-pay, accounts receivable, invoicing, tenant/customer payments, and related follow-up. Manage recurring ACHs, transfers, intercompany payments, chargebacks, and reimbursements. Identify accounting errors, inconsistencies, and process issues before they become larger problems. Build stronger internal controls around payments, transfers, approvals, check registers, and cash management. Multi-Entity & Intercompany Accounting Manage accounting activity across related businesses, including real estate ownership entities, construction, property management, lawncare, brokerage, and development companies. Track and reconcile intercompany balances. Ensure companies are properly reimbursed for shared expenses, including insurance, accounting fees, banking fees, payroll-related costs, management fees, labor reimbursements, and other allocations. Support accurate financial reporting across a complex ownership and operating structure. Team Management Directly manage and support accounting department staff. Answer daily accounting questions and help resolve issues around processes, Yardi, and related workflows. Review work completed by accounting staff and provide corrections, coaching, and process improvements. Create accountability around deadlines, accuracy, documentation, and communication. Financial Reporting, Tax & Third-Party Coordination Review financial statements for accuracy and completeness. Assist 3rd party bookkeeping team with monthly close processes and ongoing reporting improvements. Help prepare information needed for ownership, managers, lenders, CPAs, and third-party advisors. Coordinate with outside CPAs and tax preparers. Oversee internal 1099 preparation and related compliance items. Gather and maintain organized records for financing, tax, insurance, and compliance needs. Qualifications Prior experience as a Controller, Assistant Controller, Accounting Manager, Senior Accountant, or similar role. Accounting degree, CPA, or equivalent hands-on experience preferred. CPA is a plus, but not required. Strong hands-on experience with Yardi Breeze Premier , QuickBooks , and Google Sheets strongly desired. Strong understanding of accounting principles, financial statements, reconciliations, general ledger activity, and internal controls. Experience managing accounts payable, accounts receivable, month-end close, and recurring accounting workflows. Experience managing or supervising accounting staff preferred. Experience managing cash flow and using cash flow tracking tools strongly preferred Multi-entity accounting experience strongly preferred. Real estate, property management, construction, or development accounting experience strongly preferred. Ability to manage a high volume of check registers, bank accounts, spreadsheets, recurring accounting tasks, and payment obligations across many entities. Ability to track financial health of companies, execute management-approved capital plans, and communicate proactively when issues arise. Strong communication skills, sound judgment, integrity, discretion, accountability, and attention to detail.
