Part-Time Hourly with Flexible Hours (approximately 15-25 hours/month) Position Overview ArborVitae School of Traditional Herbalism is seeking a detail-oriented and values-aligned Finance Manager to oversee the financial health and sustainability of the school. This role is responsible for managing financial operations, budgeting, and reporting while supporting the school's mission to provide high-quality education in traditional herbalism. The Finance Manager will work closely with Co-Directors/Owners and helps provide oversight and direction to the Administrative Coordinator to ensure transparent, accurate, and mission-aligned financial practices that support students, faculty, and long-term growth. Key Responsibilities Financial Management & Accounting Provide oversight of Administrative Coordinator to ensure accuracy of daily financial operations including: accounts payable, accounts receivable, payroll coordination for independent contractors, and cash flow tracking accurate reconciliation of bank and credit card accounts on a regular basis timely and accurate invoicing, tuition tracking and payment processing accurate financial records using Quickbooks accounting software Budgeting & Financial Planning Develop and manage annual operating budgets in collaboration with leadership Monitor financial performance against budget and provide regular variance analysis Support long-term financial planning and sustainability initiatives Financial Reporting Prepare monthly, quarterly, and annual financial reports for leadership Generate customized financial summaries to support decision-making Ensure clarity and transparency in all financial communications Compliance & Controls Ensure compliance with all applicable federal, state, and local financial regulations Coordinate preparation for annual tax filings, audits, or reviews (including working with external accountants) Maintain internal financial controls and best practices Systems & Process Improvement Evaluate and improve financial systems and workflows for efficiency and accuracy Document financial procedures and support organizational knowledge-sharing Assist with implementation or optimization of accounting, payroll, or tuition management systems Mission & Culture Support Approach financial stewardship with respect for ArborVitae's educational mission and holistic values Collaborate thoughtfully with faculty, staff, and leadership Maintain confidentiality and professionalism at all times Qualifications Required Bachelor's degree in Finance, Accounting, Business Administration, or a related field (or equivalent experience) 3-5 years of experience in financial management or accounting Strong understanding of budgeting, financial reporting, and accounting principles Proficiency with accounting software and Excel or similar tools High level of accuracy, organization, and attention to detail Preferred Experience working with nonprofits, educational institutions, or mission-driven organizations Familiarity with tuition-driven revenue models Knowledge of payroll systems and benefits administration Familiarity with Hudson Valley Region in NY Skills & Attributes Strong analytical and problem-solving skills Clear and approachable communication style Ability to work independently and manage multiple priorities Commitment to ethical financial stewardship Appreciation for holistic education, herbalism, or integrative wellness traditions Compensation & Benefits This role is for an independent contractor working on an hourly basis Flexible work arrangements where possible Tuition discounts or access to ArborVitae programs (if applicable) Supportive, collaborative, and mission-driven work environment How to Apply Interested candidates are invited to submit the following materials: A resume outlining relevant experience A brief cover letter describing your interest in the role and alignment with ArborVitae School of Traditional Herbalism's mission Expected hourly rate for this role Please send application materials to finance@arborvitaeny.com with the subject line:
