Job Description

Job Overview The UNITED Theatre is seeking a detail-oriented, trustworthy, and motivated Finance Manager to join our team. The Finance Manager is responsible for the day-to-day administration of the organization's financial operations, including accounts payable and receivable, payroll, revenue and expense tracking, reconciliations, financial recordkeeping, and related human resource administration. Working closely with the Executive Director, finance advisors, and other members of the UNITED team, this position plays an important role in maintaining accurate financial records, supporting strong internal controls, and ensuring timely and reliable financial information across a dynamic nonprofit organization with multiple earned and contributed revenue streams. The ideal candidate is highly organized, comfortable working across multiple systems and departments, attentive to detail, and able to exercise discretion when handling confidential financial and employee information. Key Responsibilities
    Accounts Payable and Accounts Receivable:
    Process invoices, payments, checks, wires, and receipts; record, deposit, and reconcile revenue from concessions, rentals, sponsorships, ticketing, programs, and other sources. Prepare and send customer invoices and follow up on collections as necessary.
      Payroll:
      Prepare and submit biweekly payroll accurately and timely for Executive Director approval.
        Data Extraction and Reporting:
        Run reports and compile financial and operational data from multiple systems and sources as needed.
          Data Entry and Recordkeeping:
          Maintain accurate and timely financial records in accounting software, spreadsheets, and other organizational systems.
            Reconciliation:
            Assist with monthly bank, credit card, merchant processing, and account reconciliations; identify, investigate, and resolve discrepancies.
              Financial Reporting:
              Assist in the preparation of financial statements, management reports, and supporting schedules, as well as month-end and year-end closing processes.
                Revenue Tracking:
                Record, categorize, and reconcile the organization's multiple sources of earned and contributed revenue, including grants, donations, Annual Fund contributions, Membership, sponsorships, program revenue, and Capital Campaign contributions. Maintain accurate records of restricted and unrestricted funds.
                  Expense Tracking:
                  Monitor and appropriately categorize expenses; assist in ensuring expenditures are properly documented and consistent with organizational policies and approved budgets.
                    Internal Controls:
                    Follow and support established financial controls and procedures, including appropriate documentation, authorization, separation of duties, and verification processes.
                      Audit, Tax & Compliance Support:
                      Assist with annual audits, tax preparation and filings, grant reporting, insurance audits, regulatory reporting, and other financial or compliance reviews by preparing and providing necessary documentation and information.
                        Vendor and Customer Communication:
                        Communicate professionally with vendors, customers, donors, and other stakeholders regarding invoices, payments, account discrepancies, and collections as appropriate.
                          Human Resource Administration:
                          Maintain organized payroll and employment-related documentation, both physically and digitally; support the administration and recordkeeping associated with employee benefits, retirement plans, workers' compensation, and other employment-related programs; and ensure appropriate confidentiality and compliance with organizational policies and applicable requirements.
                            Cross-Departmental Support:
                            Work collaboratively with staff across the organization to ensure accurate financial information, documentation, and reporting.
                              General Support:
                              Provide additional financial and administrative support as needed in a fast-paced, active nonprofit arts environment. Qualifications
                                Education:
                                Associate degree in accounting, finance, business administration, or a related field preferred; equivalent relevant professional experience will be considered. Relevant certifications are a plus.
                                  Experience:
                                  Three or more years of accounting, bookkeeping, finance, or related experience. Experience working in a nonprofit organization is strongly preferred.
                                    Accounting Knowledge:
                                    Working knowledge of accrual and cash accounting, journal entries, account reconciliation, and the treatment of restricted and deferred revenue.
                                      Technology:
                                      Proficiency with accounting and financial software, preferably QuickBooks, as well as Google Workspace, particularly Google Sheets. Comfort learning and working across multiple software platforms is essential. Experience with payroll systems such as Gusto is a plus.
                                        Accuracy and Judgment:
                                        Strong analytical and problem-solving skills with exceptional attention to detail, accuracy, and follow-through.
                                          Confidentiality:
                                          Demonstrated discretion and sound judgment in handling confidential financial, payroll, employee, and organizational information.
                                            Communication:
                                            Strong verbal and written communication skills and the ability to work collaboratively with colleagues, vendors, donors, and other stakeholders.
                                              Organization and Time Management:
                                              Strong organizational skills with the ability to prioritize competing responsibilities, maintain reliable systems, and meet recurring deadlines.
                                                Work Environment:
                                                Ability to work effectively in a highly active nonprofit arts organization with multiple programs, events, revenue streams, and departments operating simultaneously. Benefits

                                                Pay:
                                                $50,000.00 - $70,000.00 per year
