Job Description

Accounting Office Manager The Petroleum Club of Midland | Midland, Texas The Petroleum Club of Midland seeks an experienced Accounting Office Manager to oversee the Club's accounting, finance, payroll, human resources, and administrative operations. Reporting to the General Manager and working closely with the Board of Directors, this position is responsible for budgeting, financial reporting, forecasting, internal controls, cash management, payroll oversight, audits, employee benefits administration, and maintaining accurate financial records. The Accounting Office Manager also oversees the Accounts Receivable/Payroll Clerk, Accounts Payable, and HR compliance and employee relations; works closely with the Payroll Clerk on payroll and onboarding; serves as the primary liaison with the Club's external audit firm; and serves as Assistant Secretary-Treasurer to the Board of Directors. The ideal candidate is a hands-on financial professional with strong accounting and HR experience, excellent organizational skills, and the ability to lead in a collaborative, team-oriented environment. Key Responsibilities Direct all accounting and financial operations of the Club. Prepare monthly financial statements, forecasts, budgets, and management reports. Monitor financial performance, analyze variances, and recommend improvements. Maintain accurate accounting records, reconciliations, fixed assets, and cash management. Coordinate annual audits and work with the Club's external CPA firm. Oversee payroll processes, accounts payable, accounts receivable, and member billing. Prepare federal, state, and local tax filings and required regulatory reports. Develop and maintain sound financial policies, procedures, and internal controls. Administer employee benefits, insurance programs, and retirement plans in collaboration with the General Manager. Supervise, mentor, and develop accounting staff. Assist with capital planning, cash flow management, and technology improvements. Attend Board and Finance Committee meetings and prepare financial reports. Serve as Assistant Secretary-Treasurer by assisting with Board records, meeting minutes, and duties assigned by the Secretary-Treasurer, President, or Board. Qualifications Bachelor's degree in accounting, Finance, or related field preferred. 5-7 years of progressive accounting and financial management experience. Senior accounting experience in private clubs or hospitality preferred. Knowledge of nonprofit 501(c)(7) organizations a plus. Strong leadership, communication, organizational, and supervisory skills. Experience with budgeting, financial analysis, risk management, and insurance administration. Proficiency with accounting software and Microsoft Office. Certified Hospitality Accountant Executive (CHAE) designation a plus.
