Job Description

The Accounting & Finance Manager oversees the organization's financial operations, ensuring accurate accounting, strong internal controls, and transparent financial reporting. This role manages day-to-day accounting functions while providing financial analysis, budgeting support, and compliance oversight. Working closely with the Executive Director, the Accounting & Finance Manager plays a key role in maintaining the organization's financial health and supporting strategic decision-making through timely, accurate financial information. The role partners with program, operations, and development staff to support organization-wide financial understanding and accountability. Essential Duties and Responsibilities Financial Operations & Accounting Oversee all accounting functions including accounts payable, accounts receivable, payroll, reconciliations, and general ledger management Manage monthly and year-end close processes, ensuring accuracy and timeliness Maintain accurate financial records in accordance with GAAP and nonprofit accounting standards Oversee payroll processing and required federal and state tax filings Financial Reporting, Budgeting & Analysis Prepare monthly financial statements and supporting reports for leadership and Board review Provide budget-to-actual reporting and variance analysis Assist the Executive Director in development of the annual operating budget Monitor departmental and program budgets throughout the year Support financial forecasting and scenario planning Monitor cash flow and overall financial position Generate financial reports to meet organizational, grantor, and stakeholder needs Grants, Compliance & Internal Controls Track and manage financial activity related to grants, including expenditures, reimbursements, and reporting Ensure proper classification and tracking of restricted and unrestricted funds Coordinate the organization's annual audit or financial review and serve as primary liaison with external accountants Maintain and strengthen internal financial controls and procedures Ensure compliance with nonprofit accounting standards and regulatory requirements Maintain documentation for audits, grants, and financial reporting Systems, Process Improvement & Organizational Support Maintain and optimize accounting systems (e.g., QuickBooks) and financial reporting tools Evaluate financial processes and recommend improvements for efficiency and accuracy Maintain and update chart of accounts and financial structures as needed Partner with program managers and department leads to support budget management and financial decision-making Prepare financial materials for Board meetings and support financial presentations Collaborate with development staff to ensure accurate donor tracking, reconciliation, and alignment between financial and fundraising systems Support thrift store financial tracking and integration with organizational reporting Skills & Qualifications Bachelor's degree in Accounting, Finance, or related field (preferred) 5+ years of accounting, bookkeeping, or nonprofit finance experience Strong knowledge of GAAP and nonprofit/fund accounting principles Experience preparing financial reports for leadership and/or boards Experience with budgeting, forecasting, and financial analysis Technical Skills Proficiency in QuickBooks Online (required) Advanced proficiency in Microsoft Excel and Google Workspace Experience working with CRM or donor management systems (preferred) Core Competencies High level of accuracy and attention to detail Strong analytical and problem-solving skills Ability to translate financial information for non-financial audiences Excellent organizational and time management skills Ability to work independently while building strong, collaborative relationships across departments Working Conditions This position primarily involves working in a standard office environment, requiring prolonged sitting at a desk with frequent computer use, occasional standing or walking to access files or interact with colleagues, and minimal physical exertion; the workspace is typically well-lit, climate-controlled, and with moderate noise levels. High level of verbal and written communication. Primary schedule for this position is Monday thru Friday. Access to a vehicle in working condition is required, with valid driver's license and insurance. Offer is conditional on passage of a pre-employment background check. Stanwood-Camano Food Bank Services Overview Stanwood-Camano Food Bank Services (SCFBS), established in 1984, works to alleviate hunger and meet the basic needs of individuals and families in our community. With support from generous donors, SCFBS serves over 1,500 community members each week through food distribution and essential resources. Programs include senior food distribution, a weekend food program for local students, Warm Coats for Kids, and Holiday House. SCFBS also operates the Stanwood-Camano Thrift Store, whose proceeds directly support the organization's operations.
