Financial Specialist Assistant Position Summary Daytona Beach Health and Rehab is seeking a detail-oriented and professional Financial Specialist Assistant to support payroll, human resources, onboarding, and business office operations within our skilled nursing and rehabilitation facility. Working under the direction of the Financial Specialist, this role helps ensure accurate payroll processing, employee record management, onboarding compliance, and daily administrative support. The ideal candidate is organized, customer-service focused, and capable of managing multiple priorities in a fast-paced healthcare environment. Qualifications Education & Experience High School Diploma or GED required. Associate degree in Business Administration, Accounting, Human Resources, or a related field preferred. Three to five years of payroll, accounting, business office, or human resources experience required. Healthcare or long-term care experience preferred. Knowledge, Skills & Abilities Knowledge of payroll systems, payroll processing, and basic accounting principles. Understanding of federal and state payroll regulations and employment practices. Strong organizational, analytical, and problem-solving skills. Excellent attention to detail and accuracy. Proficiency with Microsoft Office and business office software systems. Ability to maintain confidentiality and handle sensitive information appropriately. Strong verbal and written communication skills. Ability to build positive working relationships with employees, residents, families, vendors, and visitors. Essential Responsibilities Business Office Administration Support daily business office operations under the direction of the Financial Specialist. Answer phones, greet visitors, and provide professional customer service. Maintain records, files, and documentation in accordance with company policies. Assist with audits, compliance initiatives, and operational improvement plans. Provide administrative support including filing, data entry, copying, and correspondence. Payroll Administration Collect, review, and enter payroll information accurately and timely. Process payroll transactions in accordance with company policies and established deadlines. Assist employees with payroll questions and issue resolution. Maintain payroll records and ensure compliance with applicable regulations. Coordinate with corporate payroll and accounting teams as needed. Recruitment & Onboarding Support Assist applicants with the employment application process. Coordinate pre-employment requirements, including background checks, drug screenings, and required registry verifications. Process new hire paperwork and employee system setup. Complete employment eligibility verification (I-9) and E-Verify requirements. Support new employee orientation and onboarding activities. Distribute benefits information and enrollment materials to eligible employees. Provide timekeeping and payroll system training for new hires. Human Resources Support Maintain employee personnel files and records in accordance with company standards. Respond to employee inquiries regarding payroll, benefits, and employment documentation. Process employment and wage verification requests. Assist with employee separation procedures, including exit interview administration and documentation. Support compliance with employment laws, company policies, and regulatory requirements. Workers' Compensation & Leave Administration Assist with workers' compensation reporting and documentation. Maintain OSHA injury and illness records as required. Track employee leaves of absence and related documentation. Coordinate with leadership and Human Resources regarding leave management and return-to-work processes. Monitor transitional and light-duty assignments when applicable.
