Job Description

Client Service Representative Job Summary We are seeking a highly organized and detail-oriented Client Service Representative to provide operational and administrative support within a professional financial services environment. This role plays a key part in delivering exceptional client service, supporting account administration, coordinating client communications, and assisting with day-to-day operational activities. Prior experience with Charles Schwab is preferred. The ideal candidate is proactive, client-focused, and capable of managing multiple priorities while maintaining a high level of accuracy and professionalism. Key Responsibilities Client Service & Account Support Establish new accounts and coordinate account opening processes Process account transfers, transactions, deposits, and money movement requests Prepare investment advisory agreements and supporting documentation Generate performance, allocation, and client reports Prepare comprehensive client meeting materials and presentations Schedule and coordinate client meetings Maintain detailed client records and document activities within CRM systems Respond professionally to client phone calls, emails, and service requests Compose client correspondence and follow-up communications Operations & Administrative Support Process paperwork and documentation accurately and efficiently Assist with cost basis research and corrections Support quarterly reporting processes Assist with estate-related account transactions and documentation Prepare and coordinate participant education and enrollment materials Support operational and administrative projects as needed Assist with mailings, document preparation, printing, scanning, copying, and binding Office Support Provide backup administrative support when needed Answer and route incoming phone calls Welcome visitors and assist with client meetings Process incoming and outgoing mail and shipping requests Maintain professional appearance of common office areas Participate in special projects and additional duties as assigned Required Qualifications Bachelor's degree from an accredited college or university 1-3 years of experience in a professional services environment, preferably within financial services, wealth management, investment advisory, or legal services Strong organizational skills with exceptional attention to detail Ability to manage multiple priorities and meet deadlines in a fast-paced environment Excellent verbal and written communication skills Advanced proficiency in Microsoft Office Suite, particularly Excel Strong problem-solving and client service skills Preferred Qualifications Experience working with investment custodians Experience using CRM platforms and wealth management technology tools Familiarity with portfolio reporting and performance reporting software Knowledge of financial industry regulations and best practices Experience supporting retirement plans or investment advisory operations What We Offer Competitive compensation Professional development and growth opportunities Collaborative team environment Comprehensive benefits package Opportunity to make a meaningful impact on client experience and operational excellence Equal Opportunity Employer We are committed to creating an inclusive workplace and welcome applicants from diverse backgrounds and experiences.
