Full-time Job Summary:
The Representative Payee Specialist is responsible for administrative and financial support within the Representative Payee Program, assisting in the management of clients' Social Security or other benefit funds. This role is responsible for accurately processing client transactions, maintaining detailed records, and ensuring compliance with program policies and federal regulations. The specialist collaborates with Care Managers and the Representative Payee Program Manager to ensure timely payments of bills, proper documentation of expenditures, and resolution of account discrepancies. The position requires strong organizational skills, attention to detail, and the ability to handle sensitive financial and personal information with discretion. The position supports the financial stability and dignity of older adults and vulnerable individuals.
Essential Duties & Responsibilities Account Management:
Establish, maintain, and monitor client representative payee accounts Set up and maintain secure online banking access for client representative payee accounts Resolve account issues with financial institutions promptly and professionally Prepare and submit all required reports and audits for Social Security, VA, and Railroad Retirement programs accurately and on schedule
Budgeting:
Develop, review, and maintain individualized budgets for representative payee clients Communicate budget adjustments to Care Managers in a timely manner Coordinate payment plans with billers Conduct annual rental verifications
Client Management System:
Accurately enter and update transactions and biller information in the client management system Ensure same-day entry of deposits and disbursements Scan, file, and maintain client documents according to organizational standards Document payee services activities and updates clearly in client records to maintain compliance
Bill Payment:
Ensure the accurate set up of recurring payments, including rent and ACH transfers Process and distribute discretionary checks, gift cards, and travel funds Print and mail checks Set up and maintain bill payments sent through the bank's online banking bill payment system Set up travel cards through the online card management system
Communication & Collaboration:
Participate in meetings and related training upon request Document activities and updates in client records Collaborate effectively with Care Managers and Program Manager to address client needs to ensure smooth program operations Minimum Qualifications (Experience/Education): Bachelor's degree in human services or related field and one (1) year of case management experience; or High School Diploma or equivalent with a minimum of three (3) years of case management experience; or An equivalent combination of education and experience Knowledge of public benefits programs including SSI, SSDI, Medicare, Medicaid Strong working knowledge of Microsoft Office Suite Good verbal and written communication skills Interest in and desire to work with the elderly and disabled Ability to work with coworkers, clients and other contacts in a professional and positive manner Must have valid Montana driver's license, reliable vehicle and insurance Must pass national background check
Working Conditions:
Must be able to remain in a stationary position for prolonged periods of time Primarily office-based with moderate noise level Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Requires the ability to communicate information and ideas in a way others can understand. Must be able to exchange accurate information in person and over the phone. Occasional physical activity including lifting up to 50 lbs. and brief periods of standing, walking, or stooping.
Pay:
$18.23 - $20.97 per hour
