ESSENTIAL JOB FUNCTION
Representative Payee I is responsible for managing the financial affairs of assigned clients who are unable to safely and responsibly manage their own funds. This position ensures appropriate disbursement of client benefits, maintains accurate financial documentation and provides ongoing coordination with community partners and client support teams.
RESPONSIBILITIES AND DUTIES
Payee Duties for
Assigned Caseload:
Obtains payeeship authorization from referring agencies. Establishes and maintains accounts to receive, protect and manage client funds. Communicates and negotiates with creditors regarding balances and payment plans. Researches, prioritizes and pays all client bills. Reconciles client check registers with monthly bank statements. Determines spending priorities and manages surplus funds responsibly. Maintains close working relationships with community mental health case managers. Financial Software & Data Management Enters all client financial transactions into the automated payee software system. Maintains the software system to ensure accuracy and efficiency. Conducts internal audits of transactions for quality assurance.
Banking Responsibilities:
Makes bank runs and completes necessary banking transactions as needed.
Records & Reporting:
Prepares activity logs, dictation logs and documentation on a regular basis. Maintains organized and accurate client files in compliance with program requirements.
Additional Duties:
Performs other related duties as assigned by the Director of Payee Services.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES KNOWLEDGE OF
The legal and financial responsibilities of a representative payee program; banking procedures; basic finance and investments; basic accounting principals; Microsoft Office and QuickBooks.
ABILITY TO
Communicate effectively both orally and in writing; establish and maintain accurate financial records client accounts; build and maintain effective working relationships with clients, staff, and financial institutions; multi-task and meet deadlines efficiently; demonstrate sensitivity to client needs and behaviors; maintain a courteous, professional manner at all times.
SKILL IN
Interpersonal communication; budget counseling; managing budgets for client food, housing, utilities, and other essential needs.
QUALIFICATIONS
Minimum one (1) year of experience in bookkeeping, accounting, or financial management. Must pass a criminal background check and maintain a clear record.

In lieu of educational qualifications, additional progressively responsible experience that provides the required knowledge, skills and abilities will be considered.
