GENERAL PURPOSE
This role sits within the North America (NAM) eCommerce Business Operations - Strategy & Programs team and supports the coordination of digital demand intake, portfolio governance, and the operating tools that enable strategy-to-execution. The Portfolio Manager manages the digital demand intake process from idea submission through funding approval coordination, maintains visibility into the portfolio of initiatives and projects, and helps ensure portfolio information is maintained with consistent quality and accuracy. This role partners closely with NAM Digital leadership, Global Digital teams, project managers, Finance, Technology, and cross-functional stakeholders to help translate business ideas into well-defined investment requests, support prioritization decisions, maintain portfolio transparency, and reinforce consistent governance routines. This is an individual contributor role responsible for coordinating core portfolio management processes, tools, templates, reporting, and governance routines in partnership with business operations leadership and cross-functional stakeholders.
KEY RESPONSIBILITIES
MANAGE
DIGITAL DEMAN INTAKE
Manage the digital demand intake process from idea submission through prioritization, business case support, and funding approval coordination. Serve as the primary point of coordination for new digital requests, technology needs, strategic initiatives, and improvement opportunities. Partner with requestors to ensure submissions are complete, clearly articulated, and supported by appropriate business rationale, scope, benefits, dependencies, timing, and investment assumptions. Coordinate review and sign-off routines with business, Finance, Technology, and leadership stakeholders to support timely evaluation and decision-making. Support intake review meetings, prioritization discussions, and decision forums to help ensure demand is evaluated consistently against strategic value, effort, risk, resource capacity, and funding requirements. Track requests through the full intake lifecycle and ensure approved work is transitioned into the active portfolio with the appropriate metadata, governance expectations, and delivery ownership.
MAINTAIN PORTFOLIO VISIBILITY ACROSS INITIATIVES & PROJECTS
Maintain a consolidated view of the digital initiative and project portfolio, including active, approved, proposed, and pipeline work. Provide portfolio-level visibility into priorities, investments, resources, risks, dependencies, timing, and delivery status. Monitor portfolio health and identify issues, risks, decision needs, or trade-offs requiring leadership attention. Prepare portfolio reporting, dashboards, summaries, and leadership-ready insights to support quarterly planning, leadership reviews, funding discussions, and operational governance. Partner with project managers and business owners to ensure projects remain aligned to approved scope, strategic objectives, funding decisions, and expected value outcomes.
MAINTAIN PORTFOLIO DATA QUALITY & PROJECT METADATA
Serve as the steward of portfolio data quality, ensuring initiative and project metadata is accurate, complete, current, and consistently maintained across portfolio management tools. Define and uphold standards for project information, including status, phase, owner, sponsor, priority, strategic alignment, funding status, key milestones, dependencies, risks, and benefits. Conduct recurring portfolio data reviews and quality checks to improve reporting reliability, dashboard accuracy, and decision-making confidence. Coach project managers and stakeholders on required portfolio updates, data expectations, and the importance of consistent metadata discipline. Identify data gaps, process breakdowns, and reporting inconsistencies, then implement improvements to strengthen portfolio transparency and operational rigor.
MANAGE PORTFOLIO GOVERNANCE
Coordinate and facilitate portfolio governance routines, including intake reviews, portfolio health reviews, status checkpoints, decision forums, and leadership readouts. Prepare governance materials, portfolio summaries, decision packages, and meeting outputs for leadership review. Document and communicate portfolio decisions, approvals, escalations, action items, risks, and dependencies. Support accountability for timely project status updates, intake progression, decision follow-through, and governance compliance. Continuously improve governance cadences to ensure they support clear decision-making, prioritization, transparency, and execution discipline without creating unnecessary process burden.
MAINTAIN PORTFOLIO TOOLS, TEMPLATES & PROCESS DOCUMENTATION
Maintain the tools, templates, documentation, and guidance that support demand intake, portfolio management, governance, and reporting processes. Develop and improve intake forms, project metadata standards, business case templates, governance readouts, portfolio dashboards, process playbooks, and training materials. Ensure portfolio tools and templates are easy to access, clearly documented, and adopted consistently across stakeholder groups. Facilitate onboarding, training, and stakeholder coaching on demand intake, portfolio governance, reporting expectations, and tool usage. Partner with business operations and project management teams to simplify ways of working, reduce manual effort, and increase process adoption.
STAKEHOLDER MANAGEMENT & LEADERSHIP SUPPORT
Build trusted partnerships with Digital leadership, Global Digital teams, functional teams, Finance, Technology, and project delivery stakeholders. Support prioritization discussions and provide structured input on portfolio trade-offs, intake readiness, business case quality, and governance expectations. Translate portfolio information into clear, concise, leadership-ready narratives that support planning conversations, resource discussions, and investment decision-making. Communicate portfolio priorities, governance decisions, process changes, and reporting expectations across stakeholder groups.
REQUIREMENTS
SOFT-SKILLS Strong communication, facilitation, and stakeholder management skills. Ability to create structure out of ambiguity and translate complex information into clear, practical recommendations. High attention to detail and commitment to data quality, process discipline, and follow-through. Ability to influence without authority and support accountability across cross-functional teams. Strong prioritization skills and ability to operate effectively in a fast-paced, evolving environment. Comfortable working with leadership stakeholders and preparing concise, leadership-ready materials.
HARD-SKILLS
Strong proficiency in Microsoft Office, especially Excel and PowerPoint. Experience with portfolio, project, and work management tools such as Smartsheet, Microsoft Planner, Jira, Workfront, Monday.com, Planview, or similar platforms. Experience building and maintaining dashboards, trackers, templates, and process documentation. Ability to analyze portfolio data, identify trends, summarize risks, and create actionable insights. Familiarity with business case development, funding approval processes, KPI tracking, and benefits/value realization preferred. MS Teams, SharePoint, Power BI, and Smartsheet proficiency preferred. Ability to travel, domestic or international, as required. Fluent English both verbally and written.
EDUCATION & EXPERIENCE 4-6
years of experience in portfolio management, project management, PMO, business operations, strategy execution, demand management, or related fields. Experience supporting demand intake, prioritization, governance, and portfolio reporting processes in a matrix organization. Strong understanding of project and portfolio management practices, including project intake, business case development, status reporting, risk and dependency tracking, and governance routines. Experience maintaining portfolio management tools, dashboards, templates, documentation, and process standards. Experience working with leadership and cross-functional stakeholders to support prioritization, investment planning, and execution visibility.
