Closing Coordinator Reports to: Managing Attorney Overview for
Recruiting:
Detail-oriented with the ability to communicate effectively with various stakeholders. Capable of managing multiple priorities and adhering to deadlines. Understand the significance of closing dates and work diligently to ensure transactions close on time. Maintain a professional demeanor at all times.
Qualifications:
1+ years of experience in the title and settlement business. Commitment to delivering exceptional customer service. Excellent written and verbal communication skills. Attention to detail is paramount. Deadline-oriented with strong multitasking abilities. Team-oriented attitude with the ability to work independently when necessary. Familiarity with standard closing concepts, practices, and procedures in the real estate settlement industry. Sense of urgency and a proactive mentality. Ability to communicate positively and effectively with various parties involved in transactions. Quality-conscious with a strong sense of pride in delivering high-quality work. Proficient in managing challenging customers and resolving issues efficiently. Able to handle multiple files concurrently without errors. Exemplary organizational skills. Experience managing high-volume transactions in a paperless environment. Intermediate to advanced proficiency in closing software systems and Microsoft Office applications. Experience with SoftPro Select is a plus.

Managing and prioritizing tasks to ensure smooth closing processes. Attention to detail in reviewing documents and coordinating timelines.

Clear and effective communication with clients, attorneys, and other stakeholders. Providing updates and guidance to clients throughout the closing process.
Documentation Management:
Organizing and maintaining accurate records of all closing documents. Ensuring all required documents are properly completed and executed.
Client Relationship Management:
Building rapport with clients and providing excellent customer service. Addressing client inquiries and concerns in a timely and professional manner.
Title and Escrow Coordination:
Coordinating with title companies and escrow agents to ensure all necessary documents and funds are in place for closing. Reviewing title commitments and resolving any issues that may arise.
Problem-Solving Abilities:
Identifying and resolving issues or discrepancies in closing documents. Finding solutions to challenges that may arise during the closing process.
Time Management:
Managing deadlines and ensuring closings are completed on schedule. Proactively addressing potential delays to keep transactions on track.
Teamwork:
Collaborating with attorneys, paralegals, and administrative staff to facilitate smooth closings. Providing support to colleagues and assisting with tasks related to closings as needed.
Customer Service:
Maintaining a positive and helpful attitude when assisting clients. Ensuring clients feel supported and informed throughout the closing process.

Being able to adapt to changes in priorities or procedures. Flexibility in handling different types of transactions and client needs.

Requirements:
Responsibilities:
Process initial contract intake Order titles and conduct initial reviews of reports provided by title examiners. Track and receive mortgage and lien payoffs, HOA letters, and tax information. Obtain commission payment information from real estate agents involved in transactions. Maintain consistent, timely, and professional communication with clients and staff regarding file status. Engage in phone conversations with clients and promptly respond to emails from clients and staff. Ensure the system is updated with all relevant email and phone communications. Escalate any issues affecting closing dates to attorneys or closers. Drive closing performance, meet closing dates, and deliver exceptional customer experiences. Collaborate with the title department to resolve title issues.
