Job Title:
Post-Closing Coordinator Position Overview The Post-Closing Coordinator manages recording documentation and escrow workflows of moderate complexity, ensuring timely and accurate recording with county offices, payment processing, and compliance with escrow agreements. This mid-level role requires strong technical knowledge, ability to calculate transfer taxes, and client communication skills. The ideal candidate is organized, proactive, and able to mentor junior staff while contributing to departmental improvement. Key Responsibilities Title Knowledge & File Handling Demonstrate solid understanding of title reports, chain of title, moderate understanding of chain of mortgage, and various conveyances (individuals, entities, estates, referees). Accurately calculate transfer taxes and gross-ups for NYS counties. Able to breakdown, scan, and review 5-7 files per day across varying levels of complexity Escrow & Recording Execute and track escrow files through completion, including judgments and complex escrows. Review and process recording documents including but not limited to CEMAs, Affidavits, Assignment of Mortgage, Assignment of Leases & Rent, Releases, UCCs, Building Loan Agreements, Notice of Lending, multiple deed/mtg, Articles of Organization, Operating Agreements. Record documents via e-Recording portals or county clerk offices. Manage rejections/resubmissions promptly to meet deadlines. Run reports on outstanding escrows; maintain escrow email inbox. Client Support Handle client inquiries by phone/email with professionalism. Prepare deeds and transfer tax documents as requested. Mail & Document Management Open courtesy orders, track via Trello, and create invoices in TrackerPro. Scan, distribute, and track incoming/outgoing documents. Send timely confirmation emails for recorded documents. Departmental Support Mentor junior team members in workflows, systems, and procedures. Support development of SOPs and training materials. Collaborate with underwriting and other departments for escalations or document reviews. Perform document corrections as needed for team members. Qualifications High school diploma or equivalent. 2-4 years of recording and/or escrow experience in title industry. Proficiency with Trello, TrackerPro, and office applications. Strong communication and client service skills. Demonstrated accuracy in tax calculations and document handling. Core Competencies Technical Proficiency
