Full Job Description What You'll Do:
The Post Closing Specialist - Collateral Documents supports post-closing operations by managing original collateral and final loan documents from receipt through investor delivery. This role is responsible for document review, tracking, shipment coordination, exception resolution, and reporting to ensure collateral and final documents are accurate, complete, and delivered in accordance with company, investor, and regulatory requirements.
Your Key Responsibilities Include:
Retrieve, review, organize, track, and maintain original collateral documents, recorded security instruments, final title policies, and other trailing documents. Monitor collateral, custodian, exception, and shipment reports to ensure timely delivery of required documents and prompt resolution of outstanding items. Coordinate the delivery of collateral and final documents to investors, custodians, and other required parties in accordance with company and investor requirements. Research, investigate, and resolve collateral, trailing document, final document, post-closing, and investor suspense exceptions through effective collaboration with internal and external stakeholders. Maintain accurate post-closing records, document tracking, status updates, and trailing document information within the loan origination system. Reconcile data and prepare weekly and ad hoc reports on document status, outstanding exceptions, delivery metrics, and post-closing activities. Support resolution of post-closing deficiencies, including investor and agency documentation-related conditions. Proactively communicate document status, outstanding conditions, risks, and potential delays to management and stakeholders, escalating issues as appropriate and recommending solutions to minimize operational impact. Serve as a liaison between internal departments, investors, custodians, and external partners to facilitate document collection, issue resolution, and post-closing delivery requirements. Identify opportunities to improve processes, mitigate risk, and enhance operational efficiency within the post-closing function. Remain current on company policies and investor, agency, and regulatory requirements related to collateral management and post-closing document delivery. Consistently meet deadlines established by management by proactively managing priorities, monitoring progress, and ensuring all document, reporting, and delivery requirements are completed accurately and within required timeframes. Perform other duties and special projects as assigned.
What You Have:
Knowledge of post-closing, collateral, final document and investor delivery requirements. Strong attention to detail with the ability to review loan documents, recorded instruments, title policies, and investor conditions accurately. Ability to manage high-volume workflows, multiple deadlines, and competing priorities with minimal supervision. Effective oral, written, and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to business partners and employees. Your Education and Experience:
At least 3 years of experience in post-closing, collateral, final documents operations preferred. Intermediate skills in computer terminal and personal computer operation. Intermediate skills in Microsoft Office applications including but not limited to Word, Excel, and Outlook, including the use of excel v-lookup and other formulas, pivot tables and reports.
