Full Job Description Junior Estoppel Processor Join Our Team:
Our company is expanding, and we're seeking motivated Junior Estoppel Processors to become part of our Estoppel Department. If you excel in the following areas, we want to hear from you: strong computer skills, proficiency with internet searches, excellent muscle memory, attention to detail, strong time management, multitasking and problem-solving abilities, critical thinking skills, and the ability to work independently with minimal supervision.Job Overview:
The Junior Estoppel Processor is responsible for the preparation and processing of Estoppel orders. This position manages an average of 10 -15 orders and associations daily, supporting the efficient operation of the department and contributing to its success.Essential Duties:
In each order you process, you will play a crucial role in the home buying process.Your tasks will include:
Daily Workflow Management Begin each day by reviewing the Aging Reports in Minerva, focusing on past-due estoppels, with priority given to those overdue by 9-12+ days Address and complete all corrections promptly after finishing current tasks to maintain workflow efficiency.File Preparation:
Verify property information provided by clients, ensuring that all details are accurate, complete, and properly documented. Prepare files for processing by confirming and accurately listing correct folio/address formats, ensuring alignment with company policies and procedures.Research and Information Gathering:
Conduct research to identify homeowners or condominium associations and request estoppel documents detailing outstanding fees, fines, and special assessments. Handle payoff letters, including requesting and processing payments via credit card or check, and manage refunds as needed. Retain detailed records of all responses, payments and refunds.Order Processing:
Process an average of 10 -15 Estoppel Orders +Associations per day, ensuring an error rate below 7%. Thoroughly review all orders before submission, ensuring compliance with company policies and procedures.Customer Service:
Accurately document all completed activities in the system with detailed notes. Provide outstanding customer service throughout the Estoppel processing cycle, promptly responding to client and interdepartmental requests. Maintain clear, professional, and timely communication via email and voicemail, ensuring that all client inquiries are addressed effectively. Other Duties Perform other duties as assigned, adapting to the evolving needs of the department and contributing to continuous improvement. Education & Experience:
High school diploma or GED. Previous experience in an administrative role required.Skills:

Strong attention to detail is essential, ensuring that all tasks are completed with precision and accuracy.Organizational Skills:

Proficient in Microsoft Office Suite and comfortable with data entry activities; must be quick at typing and adept with technology.Research Ability:
Capable of conducting comprehensive online research and effectively communicating with municipalities and other providers to gather necessary information.Independence:
Able to work independently with minimal supervision, taking initiative to complete tasks, meet goals, and maintain high standards of performance.Assessment:
To ensure you're a great fit for this role, you'll need to pass a 30-minute pre-employment assessment that evaluates: Typing skills. Computer literacy and internet knowledge. Personality alignment with the role. Attention to detail, verbal reasoning, and numerical reasoning.Important:

Monday - Friday, 8:30 am - 5:00 pm, with a 45-minute paid lunch (equivalent to an additional $1.19 per hour). After 6 months of employment, eligible employees may apply for a hybrid schedule (three days in the office: M-W-F, and two days remote: T-TH).Benefits:
