Job Description

Making Homeownership Easy isn't a slogan for us — it's a promise we keep on every single transaction. We're looking for the person who keeps it. House Match is a growing real estate brokerage serving the Bradenton, Sarasota, and Lakewood Ranch markets. We're hiring a Closing Manager to own our transactions from the moment a contract is executed all the way through a funded closing and the days that follow — on both sides of the deal, whether we're representing the buyer or the seller. This is not a paper-pushing job. The Closing Manager is the operational heartbeat of every deal — the person our clients lean on, the person our agents trust to never let a deadline slip, and the person who turns a stressful 30-45 days into an experience that earns us 5-star reviews. What You'll Own Setting up every contract within 24 hours of execution — file creation, calendaring every critical date, and introducing yourself to the client with a personal call so they know exactly who's guiding them to the table Coordinating the title company and (on buyer-side deals) the lender — tracking every milestone to completion: inspections, appraisal, conditional approval, clear-to-close, survey, estoppel, and title commitment On listing-side deals, partnering with the other side's coordinator and title to keep the seller's file moving — disclosures complete, repairs documented, and the seller fully prepped for closing Protecting deadlines that cannot be missed — escrow/EMD deadlines, inspection and financing contingencies — by following up daily until you have written confirmation Reviewing ALTA settlement statements line by line before they reach the agent, and coordinating the disbursement authorization on every file Scheduling and confirming the final walkthrough and closing with all parties Being a frontline defense against wire fraud — personally confirming wire instructions every time Earning the 5-star review. A smooth closing is what turns a nervous buyer or seller into a raving fan. You own the experience that makes the review ask easy — and you treat every file like the reputation of the brokerage rides on it, because it does. Making the process better. We run the same proven process on every transaction — and we count on you to flag what isn't working and propose the fix. Our playbook is a living document; you help write the next version of it.
Running the post-close process cleanly:
file consolidation, thank-you cards, and handoff into our Forever Client database What We're Looking For Relentlessly organized. You track dozens of moving deadlines across multiple transactions — buyer and seller side at once — without dropping one. Proactive by nature. You'd rather make the call before the problem exists than explain why something slipped. Warm and clear on the phone and in writing. Clients should feel calmer after they hear from you. Comfortable holding vendors, lenders, and other agents accountable. "I was waiting to hear back" is not an answer you accept — or give. Detail-obsessed. You catch the wrong commission percentage, the missing credit, the date that doesn't match. An owner, not an order-taker. You run the process exactly as designed and you're always spotting the small improvement that makes it sharper. You don't quietly work around problems — you raise them. Steady under pressure. Closing weeks get intense; you stay calm and keep everyone around you calm.
GREAT TO HAVE
Prior experience as a transaction coordinator, closing coordinator, or real estate assistant : buyer side, listing side, or both Familiarity with Florida residential contracts, listing agreements, and disclosures Experience with any of: Follow Up Boss, Sisu, Dotloop, Stellar MLS, ShowingTime (we'll train the right person) Active or inactive Florida real estate license What We Offer $55,000 salary, with a clear career ladder — this is a role you grow in, not a seat you fill Health, vision, and dental coverage Full-time, in-office at our Lakewood Ranch office, working side-by-side with the agents and operations team A defined, documented process for both sides of every deal, so you're set up to win, not left guessing A team that treats clients like Forever Clients and treats each other the same way, will push you to be the best version of yourself and to never stop growing
