Must be in-office• ICM Properties, Inc. is seeking a highly organized and communication-focused Lease Processor to join our team. This role is ideal for someone looking to grow their career in real estate and property management through hands-on learning. We offer a competitive hourly rate ranging from $17 to $20 per hour. Since 1966, ICM Properties, Inc. is a full-service property management company managing over 2,600 apartments on the north side of Chicago. Our team is made up of knowledgeable leasing agents, experienced property managers, and dedicated maintenance professionals who work collaboratively to provide excellent service. Position Summary The Processor is responsible for efficiently managing rental applications and related documentation to ensure units move from market to lease as quickly and accurately as possible. This role requires strong attention to detail, excellent communication skills, and a solid understanding of fair housing regulations. The Processor works closely with internal teams and outside agencies to move deals forward while maintaining high standards of customer service and data integrity. Key Responsibilities Application Processing & Leasing Process in-house and outside agency rental applications in a timely and accurate manner Review applications and supporting documentation for completeness, accuracy, and required signatures Run and assess credit and criminal screenings in compliance with fair housing and local regulations Approve applications, request additional information when needed, or escalate to management for review Prepare and send adverse action letters for denied applications Draft, send, and countersign leases using electronic signature platforms Follow up with agents and applicants regarding missing documents, signatures, or payments Review ledgers to confirm receipt and accuracy of required payments Create key packets and coordinate key testing when units are rented Communication & Coordination Serve as a point of contact for agents, applicants, and internal team members throughout the application process Monitor and respond to the processing inbox and phone line Communicate clearly and professionally with internal departments and outside brokerages Assist the leasing team with inspections and other support needs during peak periods Renewals Assist with renewal processing, including organizing and managing large volumes of renewal data Ensure renewal leases are completed accurately and on schedule Maintain professional communication with current and future residents Data Management & Organization Maintain accurate and up-to-date records related to applications, leases, insurance, parking, and storage Track application status changes and ensure records are properly saved and organized Maintain lease copy folders and yearly records Audit application and fee records periodically for accuracy Additional Duties Assist with parking rentals and storage coordination Prepare and organize files such as photos, floorplans, and videos Participate in team meetings and support office initiatives Assist with special projects and peak-season tasks Required Skills & Qualifications Strong attention to detail and ability to manage high volumes of work Excellent written and verbal communication skills Strong organizational and multitasking abilities Ability to quickly learn and adapt to new systems and processes Professional judgment when handling sensitive and confidential information Working knowledge of fair housing laws and related regulations Technical Skills Proficiency with Google Workspace and Microsoft Office Experience with Adobe Acrobat and electronic signature platforms Strong data entry and general technical skills Work Environment & Seasonal Expectations Fast-paced office environment with frequent deadlines Peak processing periods typically occur between March and August, with renewal activity increasing late fall and winter
