Office Manager — Bookkeeping, Payroll & Operations Purple Painting | Santa Barbara, CA | Full-Time, On-Site | $31-$33/hour DOE Read this part first This is an Office Manager role, and then a lot more. If what you want is a quiet desk, the same five reports every week, and a 5:00 clock-out having touched nothing new — this will make you miserable, and we'd rather you know that now. We're looking for the person who becomes the operational backbone of a fast-growing contracting company. One day you're running payroll and reconciling QuickBooks. The next you're fixing a certified payroll upload, chasing a lien release, helping a supervisor sort out a schedule conflict, and telling the owner that the process he built last month isn't working and here's a better one. Office management is the floor of this job, not the ceiling. We want ideas. We want problems brought to us with a proposed solution attached. If that's how your brain works, keep reading. Who we are Purple Painting is a licensed painting contractor (CSLB #1096227) serving Santa Barbara, Goleta, Montecito, Ventura, and the surrounding coast. We started in 2022 and have grown to a team of 25+ employees. We work across residential repaints, commercial and public projects, HOAs, and prevailing-wage jobs — hospitals, colleges, and municipal work included. We're building something bigger than a paint company: real systems, real career paths, and a long-term goal of employee ownership. This role is central to that. What you'll own: Accounting & Payroll Run weekly payroll for a field crew, including overtime, prevailing-wage rates, and multi-job time allocation Manage accounts payable — vendor bills, purchase orders, credit card coding, payment runs Manage accounts receivable — invoicing, progress billing, collections follow-up Bank and credit card reconciliations, job costing, month-end close support Work directly with our CPA on quarterly and year-end reporting Compliance DIR certified payroll (eCPR) reporting for public works projects Contractor licensing, insurance certificates, workers' comp audits, business licenses Keep us current on California labor requirements — meal/rest breaks, sick leave, wage notices Office & Operations Own the front-office rhythm: phones, email, customer communication, scheduling support Maintain job and customer records in our CRM (JobTread) — you'll become the power user Support field supervisors with material orders, permits, and job documentation Onboard new hires: paperwork, I-9s, handbook, orientation Sales, Marketing & Growth Support the sales team with proposals, follow-up, and pipeline hygiene Help drive review requests, referral follow-through, and customer touchpoints Bring us better ways to do all of the above What we need from you 3+ years in bookkeeping, office management, or business operations Strong QuickBooks Online skills — you can run payroll, manage AP/AR, and reconcile without hand-holding Comfortable owning a task from start to finish without being reminded twice Clear, direct communicator — with customers, crew, and ownership Organized under pressure, and honest when something goes sideways Valid driver's license and reliable transportation What moves you to the top of the pile DIR / certified payroll reporting experience Construction, trades, or field-service industry background Experience with a construction CRM or project management platform (JobTread, Buildertrend, Procore, ServiceTitan) Conversational Spanish A track record of building a process that outlived you What we offer $31-$33/hour depending on experience, with room to grow as the company grows Paid Holidays Direct access to ownership and real influence over how this company runs How to apply Apply through Indeed with your resume. Pay:
