Job Summary:
We are entering a new phase of growth and are seeking a highly capable, hands-on, and detail-oriented Payroll & Accounting Manager to oversee the company's payroll operations while supporting day-to-day accounting functions. This is a full-time, onsite, salaried position reporting directly to executive leadership. This role is heavily payroll-focused and requires a leader with demonstrated experience managing high-volume payroll processing for 600+ employees, primarily hourly and part-time employees across multiple California locations. The ideal candidate must possess strong payroll expertise, understand California wage and hour requirements, and have practical day-to-day accounting experience. This leadership role will oversee two direct reports responsible for payroll administration and accounting support functions, including Accounts Payable and Accounts Receivable. The ideal candidate will be a proven hands-on manager who can both lead a team and actively participate in the day-to-day responsibilities of the department.
Key Responsibilities:
Payroll Administration Oversee and manage semi-monthly payroll processing for 600+ employees across multiple California locations Ensure payroll accuracy, timeliness, and compliance with federal, state, and local regulations Review payroll for wage accuracy, Paid Sick Leave compliance, multiple municipality requirements, garnishments, deductions, and payroll discrepancies Process payroll corrections, adjustments, and final pay requirements Manage year-end payroll activities including W-2 processing, payroll tax reporting, and quarter-end reporting Serve as the primary point of contact for payroll-related questions and escalations Work closely with HR and Operations regarding employee status changes, leaves of absence, terminations, and payroll discrepancies Maintain strict confidentiality of employee and payroll information Reviewing processes, create efficiencies Accounting Responsibilities Support month-end close processes and account reconciliations Ensure accuracy of Accounts Payable and Accounts Receivable functions Prepare and maintain accurate journal entries and supporting financial records Support financial reporting and audit preparation Prepare and provide accurate financial information for external accountants, auditors, and financial institutions Assist with budgeting and financial analysis as needed Leadership Responsibilities Provide leadership, support, and oversight to payroll and accounting staff Monitor workflow, departmental deadlines, and accountability Promote process improvements and strengthen internal controls related to payroll and accounting functions Provide coaching, guidance, and development opportunities for team members. CEO/Owner Qualifications:
Minimum 5 years of payroll, preferably with a distributed workforce Accounting experience High-volume payroll processing experience is essential Strong knowledge of: California wage and hour laws and requirements Payroll tax compliance Multi-location payroll administration Payroll auditing and reconciliations Experience working with ADP Workforce Now or similar payroll systems Experience/Understanding of working with a PEO is a plus Strong organizational skills and ability to manage deadlines independently Excellent attention to detail and problem-solving skills Strong communication and leadership abilities Ability to lead and hold staff accountable along with being part of the team Technical Requirements Excel Intermediate to Advanced skills are

Excel proficiency test will be required along with other test that deemed necessary Candidate must be proficient in: Complex formulas Payroll auditing spreadsheets Large dataset review and analysis Financial reporting support Bilingual Spanish/English Systems Experience ADP Workforce Now strongly preferred QuickBooks Timekeeping/payroll integration systems experience preferred Background check, including credit check and drug test.
