Learn more about the newest product launches from our Unwrapped event. About the Role At Tools for Humanity, payroll is mission-critical infrastructure. As we scale globally, paying every employee accurately, on time, and in compliance is foundational. We're hiring a Global Payroll Manager to own end-to-end payroll operations worldwide. You will be the operational authority for payroll across all TFH entities: hands-on in Workday for U.S. payroll, and accountable for the international payroll ecosystem we run through in-country providers across Germany, Singapore, and additional jurisdictions as we expand. This role is based in San Francisco, CA, and reports into our People team. You will partner closely with Finance, Legal, Tax, Accounting, and external providers to deliver accurate, timely, and compliant payroll globally.
Responsibilities:
Own full-cycle US payroll processing in Workday - multi-state, exempt and non-exempt populations, partnering with OneSource Virtual (OSV) to close each pay cycle accurately and on time. Manage the OSV relationship as the operational owner: drive performance against SLAs, run regular service reviews, escalate and resolve issues, and continuously raise the quality bar. Process token compensation, ensuring accurate tax withholding and timely reporting Oversee quarter-end, W-2 preparation, year-end reconciliations, and resolution of federal, state, and local tax notices in partnership with OSV and our tax advisors. Maintain and continuously improve the Workday Payroll configuration - own earnings/deductions, pay groups, calculations, integrations, and reporting; identify automation opportunities and lead optimization initiatives. Oversee international payroll operations across our entities, including Germany, Singapore, and additional countries on the horizon. Stand up payroll in new jurisdictions as we expand - select and onboard providers, build the operating model, document SOPs, and ensure compliance from the first cycle. Partner with Accounting on payroll journal entries, accruals, intercompany allocations, and month-end / quarter-end close. Serve as the senior escalation point for complex payroll issues and sensitive employee inquiries; design the support workflow and SLAs that deliver a high-trust employee payroll experience. Champion the use of AI tools within the payroll function - identify high-value use cases for reconciliation, anomaly detection, exception handling, employee Q&A, and reporting.
Qualifications:
8+ years of payroll experience, with at least 3 years owning U.S. multi-state payroll end-to-end at a senior or manager level. Hands-on Workday Payroll experience, including comfort in configuration, reporting, and looking around corners to proactively identify and patch gaps Direct experience managing an outsourced payroll partner relationship: SLAs, service reviews, escalations, and continuous improvement. Strong working knowledge of U.S. federal, multi-state, and local payroll compliance, including year-end (W-2, 1099), tax notice resolution, and registrations. Demonstrated ability to thrive in fast-moving, ambiguous environments - you build structure where none exists and don't wait for someone to hand you a playbook. Strong cross-functional instincts - you build trust quickly, influence without authority, and communicate clearly across Finance, People, Legal, and external partners. Experience standing up payroll in a new country / new entity from scratch. Experimented with AI or automation tools to improve payroll workflows (reconciliation, error detection, employee support, reporting). Pay transparency statement (for CA and NY based roles): The reasonably estimated salary for this role at TFH ranges from $187,000 - $220,000 , plus a competitive long term incentive package. Actual compensation is based on factors such as the candidate's skills, qualifications, and experience.
