Job Description
Position Overview Our company is seeking a highly organized and detail-oriented Payroll & Benefits Specialist to join our Human Resources team. This position serves as the primary administrator for payroll operations across the United States, Canada, and Mexico, ensuring accurate and timely processing of weekly payroll for our employees. The Payroll & Benefits Specialist is responsible for payroll administration, payroll tax and compliance reporting, retirement plan administration, payroll-related invoicing, audits, and employee record maintenance. This role also serves as the lead coordinator for employee benefits administration, including annual Open Enrollment, benefits reporting, employee communications, and vendor coordination. The ideal candidate will possess strong payroll expertise, exceptional attention to detail, and the ability to maintain confidentiality while providing outstanding support to employees and management. Essential Duties & Responsibilities Payroll Administration Process and audit weekly payroll for U.S., Canadian, and Mexican employees. Ensure accurate calculation of wages, overtime, bonuses, commissions, deductions, garnishments, and benefit elections. Maintain compliance with federal, state, provincial, and local payroll regulations. Review and reconcile payroll data prior to payroll submission. Process employee status changes including new hires, terminations, transfers, promotions, and compensation changes. Research and resolve payroll discrepancies and employee payroll inquiries. Prepare payroll-related journal entries and reconcile payroll accounts as needed. Maintain payroll records and ensure compliance with record retention requirements. Payroll Reporting & Compliance Prepare and distribute payroll reports for management, Finance, and external agencies. Support year-end payroll activities including W-2 processing and payroll audits. Assist with payroll tax reporting and reconciliation activities. Generate workforce analytics and reporting related to headcount, labor costs, overtime, and payroll trends. Support internal and external audits related to payroll and employee records. Ensure compliance with wage and hour regulations across multiple jurisdictions. Retirement Plan Administration Administer the company's 401(k) plan, including enrollment, eligibility tracking, contribution processing, and employee communications. Coordinate payroll deductions and contribution remittances. Assist with annual audits and compliance testing. Partner with plan providers to resolve participant questions and issues. Benefits Administration Administer employee benefit programs including medical, dental, vision, life insurance, disability, and voluntary benefits. Serve as the primary coordinator for annual Open Enrollment activities. Prepare benefits communications, educational materials, and enrollment resources. Maintain benefit enrollment records and process qualifying life event changes. Audit and reconcile benefit invoices for accuracy. Coordinate with carriers, brokers, and vendors to resolve enrollment and billing issues. Process FMLA, leave of absence, and disability-related documentation. Generate and analyze benefits utilization and enrollment reports. Employee Support Respond to employee questions regarding payroll, benefits, retirement plans, deductions, and leave programs. Provide training and education related to payroll and benefit programs. Support HR initiatives and special projects as assigned. Qualifications 3+ years of payroll administration experience, preferably in a multi-state environment. Experience using Rippling HRIS or similar payroll/HRIS platforms strongly preferred. Experience processing payroll for multiple entities, locations, or countries preferred. Working knowledge of payroll laws, wage and hour regulations, and payroll compliance requirements. Experience administering employee benefits and retirement plans. Proficiency with HRIS and payroll systems. Strong Microsoft Excel and reporting skills. Exceptional attention to detail and organizational abilities. Ability to handle confidential information with professionalism and discretion. Strong analytical, problem-solving, and communication skills. Preferred Qualifications CPP (Certified Payroll Professional) designation preferred. Experience with Canadian and/or Mexican payroll processes. Experience supporting Open Enrollment and benefits administration. Background in accounting, payroll reconciliation, or financial reporting.
