This role is responsible for managing client bookkeeping and payroll accounts, maintaining accurate financial records, and overseeing day-to-day office administration. The ideal candidate is detail-oriented, professional, and comfortable working directly with multiple clients in a deadline-driven environment. Key Responsibilities Client Bookkeeping & Accounting Manage bookkeeping for multiple client accounts across various industries Maintain accurate general ledger entries for client files Perform monthly bank, credit card, and loan reconciliations Client Payroll Services Process full-cycle payroll for multiple client accounts on varying schedules Ensure accurate calculation of wages, overtime, bonuses, and deductions Manage payroll taxes, benefits, garnishments, and retirement contributions Prepare and file payroll tax reports in compliance with federal, state, and local regulations Handle year-end payroll processing, including W-2s and 1099s Respond professionally and promptly to client payroll questions and issues Office Management & Firm Support Oversee day-to-day office operations for the accounting firm Serve as a primary point of contact for firm vendors and service providers Manage office supplies, equipment, and facility needs Maintain firm records, client files, and internal documentation Support staff with scheduling, onboarding paperwork, and administrative needs Assist partners and managers with client communications and workflow coordination Help develop and improve internal office and client service processes Compliance & Client Service Ensure compliance with accounting standards, payroll regulations, and firm policies Maintain strict confidentiality of client financial and personal information Coordinate with external agencies, software providers, and tax authorities as needed Qualifications Required Proven experience in bookkeeping, payroll, and office management within an accounting or professional services environment Strong understanding of accounting principles and payroll regulations Proficiency with accounting and payroll software (e.g., QuickBooks, ADP) Excellent organizational, time-management, and multitasking skills Strong written and verbal communication skills for client interaction High attention to detail and commitment to accuracy and deadlines Preferred Associate's or Bachelor's degree in Accounting, Finance, or Business Administration 3+ years of client-facing bookkeeping and payroll experience Experience managing multiple client accounts simultaneously Multi-state payroll experience Work Schedule Full-time position Compensation & Benefits Competitive salary based on experience Benefits may include paid time off, and professional development opportunities
