Position Description:
The Accounting and Payroll Manager is a key member of the Operations team responsible for overseeing the full accounting cycle for multiple company entities while ensuring the accuracy, integrity, and efficiency of accounting and cash management operations. This role leads the day-to-day accounting and payroll functions, including accounts payable, accounts receivable, payroll processing, cash management, wire payments, broker payables, general ledger maintenance, and month-end close activities. The Accounting and Payroll Manager is responsible for producing timely and accurate financial reporting, maintaining strong internal controls, and ensuring compliance with generally accepted accounting principles (GAAP), labor laws, tax regulations, and company policies. Under the direction of the CFO, this position partners closely with leadership and cross-functional teams to provide financial insights and continuously improve processes and systems. Success in this role requires exceptional attention to detail, strong analytical and organizational skills, a commitment to accuracy and confidentiality, and the ability to lead accounting operations while fostering collaboration and continuous improvement across the organization.
Essential Job Duties and Responsibilities:
- Oversee the full accounting cycle for multiple company entities, ensuring accurate and timely recording of financial transactions in accordance with GAAP.
- Manage the general ledger, including journal entries, account reconciliations, chart of accounts maintenance, variance analyses, and month-end and year-end close processes.
- Review, approve, and record standard and adjusting journal entries, ensuring the accuracy and completeness of all financial records.
- Oversee accounts payable, accounts receivable, broker payables, payroll accounting, cash management, wire payments, intercompany transactions, and other asset and liability account activity.
- Monitor cash flow, perform cash reconciliations, and manage payment activities to ensure adequate liquidity and financial control.
- Support preparation of financial reports, schedules, analyses, and supporting documentation for leadership, audits, and strategic decision-making.
- Support budgeting, forecasting, and financial planning activities through analysis of actual results, trends, and variances.
- Develop, implement, and maintain strong internal controls, accounting policies, standard operating procedures, and compliance processes.
- Ensure compliance with accounting standards, tax regulations, payroll requirements, and company policies, escalating concerns and partnering with external advisors as appropriate.
- Support with coordination of external audits, tax filings, business licenses, payroll tax reporting, sales tax filings, and other regulatory requirements.
- Demonstrate analytical and forensic accounting capabilities by investigating financial variances, payroll discrepancies, and accounting irregularities; identifying root causes; implementing corrective actions; and ensuring the accuracy, compliance, and integrity of financial reporting across multiple entities.
- Support reporting and analysis of various financial reporting activities, with an emphasis on sales and gross profit by customer and revenue stream.
- Oversee the full payroll function, ensuring employees are paid accurately and timely while maintaining compliance with federal, state, and local wage and tax regulations.
- Serve as the primary point of contact for payroll-related inquiries, resolving discrepancies and complex payroll matters.
- Reconcile employee benefit deductions and employer premium payments, ensuring accuracy between payroll records, enrollment data, and carrier invoices.
- Administer employee retirement plan processes, including new hire enrollment and employee contribution changes.
- Partner with Human Resources to support employee onboarding, offboarding, payroll changes, and benefits administration.
- Collaborate cross-functionally with Human Resources, Sales, Development, IT, Marketing, and other departments to ensure accurate financial reporting and operational effectiveness.
- Identify opportunities to improve efficiency through process enhancements, automation, system integrations, and workflow optimization.
- Lead or support accounting software implementations, upgrades, and system enhancement projects.
- Maintain accurate accounting records, documentation, and financial procedures to support operational consistency and regulatory compliance.
- Communicate financial information, analyses, and recommendations to leadership and stakeholders on a regular basis.
- Stay current on accounting, payroll, tax, and regulatory developments, recommending changes to maintain compliance and mitigate organizational risk.
- Perform additional duties and special projects as assigned by leadership.
Skills, Experience, and Education:
- A minimum of five years of progressive accounting and payroll experience in a management-level position or a highly autonomous role requiring minimal supervision.
- Demonstrated experience with billing platforms, payroll processing systems, and Human Resource Information Systems (HRIS).
- Exceptional data management, analytical, and problem-solving skills, with the ability to interpret and communicate complex financial information.
- Advanced proficiency in QuickBooks and Microsoft Excel, including formulas, pivot tables, reporting, and financial analysis.
- Strong knowledge of generally accepted accounting principles (GAAP), financial consolidations, payroll laws and regulations, audit controls, intercompany accounting, and elimination entries.
- Experience managing multi-entity accounting environments and maintaining accurate financial records and reporting.
- A Bachelor's degree in Accounting is required.

Pay Range:
The expected annual salary range for this full-time exempt position is$89,000 to $110,000.Willingness to work evenings and weekends on occasion to meet time-sensitive business objectives is required. The pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with geographical market data, or other law.

This position is based in Escondido, California and is considered a hybrid position with a combination of both required in office days and some remote workdays.
