Job Title:
Payroll Supervisor Job Description The Payroll Supervisor oversees end-to-end payroll operations to ensure accurate, compliant, and efficient processing for a diverse employee population. This role manages faculty and staff compensation across multiple systems, including complex pay structures, and drives continuous improvement in payroll workflows. The Payroll Supervisor serves as a key partner to HR and Finance, supports major system transformations, and acts as a primary resource for resolving payroll-related issues and inquiries. Responsibilities Oversee end-to-end payroll processing for 100+ physicians, nurses, and administrative staff, ensuring accuracy, compliance, and timeliness. Manage complex payroll scenarios, including shift differentials, variable compensation models, and multi-entity or multi-state payrolls. Administer faculty compensation programs, including PRN pay, supplemental pay, incentives, and shift differentials. Oversee labor distribution processes and ensure accurate allocation of payroll costs. Manage time and leave reporting, including FMLA tracking, leave payouts, and related adjustments. Coordinate and execute year-end payroll activities, including tax reporting and W-2 preparation, in compliance with federal, state, and institutional requirements. Review, refine, and improve payroll processes and workflows to enhance efficiency and accuracy. Identify, research, and resolve payroll exceptions, discrepancies, and complex deduction issues in a timely manner. Ensure payroll operations remain compliant with evolving federal, state, and institutional payroll regulations and policies. Support internal and external audits in partnership with Finance by preparing documentation, reports, and explanations of payroll processes. Respond to payroll inquiries from employees and stakeholders, providing clear guidance and resolving issues professionally. Serve as the primary liaison between the payroll function and internal HR and Finance teams, as well as external stakeholders. Support onboarding of new clinical staff by ensuring accurate payroll setup, appropriate pay configurations, and system access. Play a key role in payroll system transitions, including testing, validation, data integrity checks, and user training. Collaborate with leadership to implement process improvements, strengthen internal controls, and ensure audit readiness. Maintain up-to-date knowledge of payroll regulations, tax requirements, and institutional policies, and apply this knowledge to daily operations. Essential Skills At least 8 years of progressive payroll experience, preferably in healthcare, higher education, or large-scale organizations. Strong working knowledge of payroll systems such as Oracle, PeopleSoft, Workday, or similar enterprise platforms. Demonstrated experience managing complex payroll structures, including shift differentials and multi-entity or multi-state payrolls. Proficiency in end-to-end payroll processing, including calculations, adjustments, and reconciliations. Solid understanding of payroll tax principles, deductions, and regulatory compliance requirements. Strong reporting and analytical skills, including the ability to interpret payroll data and identify trends or discrepancies. Proficiency with Microsoft Excel for data analysis, reporting, and reconciliation activities. Ability to lead processes and influence cross-functional teams without direct supervisory authority. High attention to detail and a strong commitment to accuracy, data integrity, and compliance. Effective communication and collaboration skills for working closely with HR, Finance, leadership, and employees. Experience working with Oracle payroll solutions and related tools. Additional Skills & Qualifications Experience working in healthcare, higher education, or other complex, large-scale organizational environments. Familiarity with multiple payroll platforms, including Oracle, PeopleSoft, Workday, or similar systems. Experience supporting system transformations or implementations, particularly transitions from PeopleSoft to Oracle or other cloud-based solutions. Certified Payroll Professional (CPP) certification preferred but not required. Demonstrated ability to document, refine, and standardize payroll processes. Strong problem-solving skills and the ability to handle sensitive and complex payroll issues with discretion. Ability to train and support colleagues during system changes and process updates. Work Environment This role follows a standard workweek that combines on-site and remote work, with three days on-site in a downtown Baltimore office and two days working remotely. The position is based in a large, modern office building that offers a professional, collaborative team environment and a dedicated workspace. The payroll function operates within a technology-driven setting, leveraging enterprise payroll systems such as Oracle and other HR and Finance platforms, along with tools like Microsoft Excel for reporting and analysis. The work environment supports hybrid flexibility and provides an opportunity to participate in a major system transformation from legacy platforms such as PeopleSoft to a modern, cloud-based Oracle solution, contributing to the future of payroll operations. Job Type & Location This is a Contract to Hire position based out of Baltimore, MD. Pay and Benefits The pay range for this position is $40.86 - $48.07/hr.
