Under general supervision, the Payroll/Accounting Clerk supports accurate and timely payroll processing for Smyth Industries employees. This position assists with verifying timekeeping data, entering payroll information, maintaining payroll records, and following established payroll procedures, tax requirements, and company policies. The Payroll/Accounting Clerk also provides clerical accounting support, helps prepare routine payroll information for review, responds to employee payroll questions, and escalates exceptions as needed. This position supports Smyth Industries' commitment to accuracy, confidentiality, and operational efficiency.Essential Duties and Responsibilities:
Payroll Processing & Reporting:
Collect and verify timekeeping data for employees | Assist with processing paychecks and direct deposits | Help calculate overtime, holiday, and vacation pay for review | Assist with preparing payroll-related tax forms including W-2s and 1099s | Help reconcile payroll reports for accuracy | Maintain accurate payroll records | Prepare routine payroll information for accounting and management review | Help address and resolve payroll discrepancies and escalate issues as needed.Compliance & Audits:
Follow established federal, state, and local payroll procedures and guidelines | Assist with payroll tax documentation and recordkeeping | Help maintain files and documentation for internal and external audits related to payroll | Maintain strict confidentiality with sensitive employee and financial information.Employee Support:
Respond to employee payroll-related inquiries professionally and promptly | Assist employees with understanding pay, deductions, and related matters | Provide excellent customer service while ensuring timely, accurate payroll processing.Systems Management & Process Improvement:
Utilize payroll software and Microsoft Excel for data entry, tracking, and routine reporting | Help identify data issues and suggest process improvements to supervisors | Learn basic benefit deduction processes to support accurate payroll entries | Work with HR to help maintain accurate employee information and benefit deductions.Accounting Support:
Provide clerical accounting support by processing routine financial transactions such as invoices, expenses, and payments | Assist with bank reconciliations | Perform data entry and maintain accurate financial records | Help organize documentation for internal and external audits | Collaborate with accounting staff to support daily financial operations.Cross Department Coordination:
Work collaboratively with HR, accounting, and management to support smooth payroll processes | Provide timely payroll information for review and follow-up | Assist in maintaining compliance with company policies and internal procedures.Minimum Qualifications:
High school diploma or GED | Basic aptitude for numbers and calculations | Meticulous attention to detail | High level of professionalism, integrity, and confidentiality | Excellent communication, customer service, and time management skills | Ability to manage routine tasks and meet regular deadlines | Ability to perform standard office tasks, including occasional lifting of typical office supplies and files.Preferred Qualifications:
Associate or bachelor's degree in accounting, finance, or business administration | Understanding of payroll laws, taxes, and regulations | Knowledge of QuickBooks payroll software | Proficiency in Microsoft Excel | Ability to collaborate effectively across departments | Ability to learn and understand company benefits | Knowledge of certified payroll | General understanding of Davis-Bacon Act requirements | Understanding of fringe benefits administration and reporting | Bilingual (English/Spanish).Competencies:
