Job Summary Payroll Specialist with strong hands‑on experience in ADP Workforce Management and ADP Workforce Now, specifically timekeeping and labor management. This role is critical in ensuring accurate payroll processing by maintaining, auditing, and troubleshooting time and attendance data prior to payroll submission. Payroll Specialist will support bi-weekly payroll processing for the Company, 1,500+ employees, in concert with the Payroll (PR) Manager, to comply with state, federal and local legal requirements. This work includes a variety of payrolls, taxes statements, status updates, etc. Specialists exhibit the knowledge and expertise needed for payroll and supports human resources administration. Very strong customer service and positive communications skills are required to support all levels of management, field and corporate employees. A high level of discretion and confidentiality is required.
Key Responsibilities Include:
(But not limited to the following) Process daily and bi‑weekly payroll for hourly and salaried employees across multiple payroll systems. Prepare, review, and reconcile payroll in partnership with the Payroll Manager to ensure accuracy and timeliness. Maintain and update employee payroll records, including new hires, transfers, status changes, and pay rate adjustments. Administer and maintain the ADP Workforce Now (WFN) timekeeping system. Review, audit, and validate employee timecards to ensure compliance with company policies and pay rules. Troubleshoot and resolve timekeeping discrepancies such as missed punches, schedule issues, exceptions, accruals, and PTO. Obtain and document supervisory approvals for timecard corrections as required. Run, analyze, and validate daily payroll and timekeeping reports. Support payroll processing for overtime, shift differentials, premium pay, and manual adjustments. Ensure compliance with California wage and hour laws, including certified and prevailing wage requirements. Process certified and prevailing wage payroll, including data entry and reporting in LCP Tracker. Create and process manual payroll checks and bonus payments as requested. Assist with payroll audits, reconciliations, reporting, and internal reviews. Partner with managers, field foremen, superintendents, and area managers to resolve payroll and timekeeping issues. Respond to payroll inquiries from employees and management regarding pay, hours worked, and discrepancies. Participate in payroll system upgrades, testing, and process improvement initiatives. Conduct research to identify and resolve payroll discrepancies effectively. Communicate payroll processes and issues clearly to both individuals and groups.
Qualifications Payroll and HR:
5+ years for an employee population of 500 -1000 a plus Bilingual -
English/Spanish Required Systems:
ADP Required, MS Office, etc. Strong communication and interpersonal skills are essential Proficient in Microsoft Office Applications Dependable and responsible who can take direction and work with little supervision Excellent communication and group presentation skills
Technology Technology:
ADP required, HRIS (Spectrum), Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Applicants must be currently authorized to work in the U.S. on a full-time basis without future employment sponsorship
