Definition:
As part of the ATCAA team, the Payroll Assistant plays an essential role in ATCAA as a whole. Under supervision, the Payroll Assistant provides general support to the Payroll Coordinator. The Payroll Assistant is responsible for reviewing payroll documents for accuracy prior to payroll processing, accurately inputting payroll data into the Agencys computerized payroll system, assisting Employees with payroll-related questions, and assisting with all other routine payroll duties and special payroll projects. The Payroll Assistant is the lead payroll staff person in the absence of the Payroll Coordinator and Payroll Administrator.

Payroll Coordinator Job Duties and Responsibilities Related to
This Position:
Review payroll documents, such as employee time records to ensure they are complete and accurate;Prepare and reconcile payroll data, and input into computerized payroll system;Prepare computerized payroll data and download reports;Assist with preparation and input of accounting data into computerized accounting system;Provide prompt assistance to Employees, Program Directors and Supervisors;Maintain the timely arrival of timesheets and other payroll documents through the computerized payroll system;Prepare spreadsheets using Microsoft Excel, specifically downloading, manipulating data, and preparing reports;Prepare forms, documents, procedures or other materials as needed;Assist with general clerical duties, such as typing, filing, copying, mailing, distribution, and answering telephones;Gather, compile and organize data and information for reports or correspondence;Compose and proofread correspondence or other materials;Assist with maintaining and reconciling payroll-related general ledger accounts;Assist with special fiscal or administrative projects;Work with other administrative staff as needed to assure cross training and backup.
General Duties and Responsibilities:
As a part of the ATCAA team, all employees play an essential role in ATCAA as a whole, and are expected to: Demonstrate and encourage a professional and positive attitude in all job related activities;Maintain confidentiality in accordance with standards as outlined in the Statement of Confidentiality and Ethics;Accomplish all work activities in a safe and timely manner within assigned guidelines and consistent with ATCAA Personnel Policies and Operating Procedures;Report and/or correct deficiencies that constitute immediate threats to health and safety;Complete other tasks as assigned by the supervisor that are consistent with the definition and intent of the job description.
Minimum Qualifications:
Experience and proficiency in word processing, spreadsheet applications, and Windows operating system;Have experience or aptitude and willingness to learn cloud based systems; specifically Microsoft Office 365 and OnePoint (Human Capital Management); develop proficiency in both systems as related to the roles and responsibilities of this position within one year;Fundamental knowledge of basic bookkeeping;Possess a high school diploma or equivalent;Possess a valid California drivers license and an acceptable driving record;Ability to obtain fingerprint clearance upon offer of employment;High level of organizational skills, accuracy, and attention to detail;Demonstrate effective oral and written communication skills;Demonstrate proficiency in keyboarding and 10-key operation;Ability to follow directions with minimal supervision;Ability to occasionally work a flexible schedule if needed due to payroll processing time constraints;Ability to lift 30 pounds.
Desired Qualifications:
Thorough understanding of bookkeeping and/or accounting principals;Experience in the use of computerized Payroll System;Experience in database maintenance and report generation;Work experience in fund accounting.
