Job Description
Sr. Payroll Specialist (Temporary, On‑Site) - San Ramon, CA BRE‑Staffing, LLC - Supporting Valent USA BRE‑Staffing, LLC is seeking an experienced Sr. Payroll Specialist for a temporary, on‑site role in San Ramon, CA . This position plays a critical role in executing complex, multi‑state payroll activities for multiple subsidiary companies and serves as a primary point of contact for payroll inquiries. The ideal candidate brings deep payroll expertise, strong analytical skills, and the ability to manage high‑volume, multi‑entity payroll operations with accuracy and professionalism. Key ResponsibilitiesPayroll Processing Process multi‑state payroll for 800+ hourly and salaried employees . Manage new hires, terminations, leaves of absence, promotions, transfers, and status changes. Process benefit deductions, HSA/FSA contributions, and adjustments in coordination with HR. Calculate and manage 401(k) contributions and employer match. Process involuntary deductions (levies, garnishments). Handle special/adjustment payrolls (e.g., Gifts, SOV points), relocation expenses, imputed income, gross‑ups, overtime, fringe benefits, and expatriate earnings/deductions. Process merit increases and bonuses. Post‑Payroll Processing & Reporting Analyze pay variances and audit payroll registers for accuracy. Prepare payroll journal entries and accruals; obtain approvals from HR and management. Process quarterly payroll amendments and reconcile quarterly payroll reports. Create and run standard and customized payroll reports for multiple business units. Timekeeping & Time‑Off Administration Administer vacation and time‑off policies, including accruals and assignments. Tax & Compliance Set up and maintain payroll tax withholdings across 35+ states . Interface with taxing authorities and support tax audits. Research and implement new tax laws (e.g., Qualified Overtime). Ensure pay statements comply with federal and state requirements. Adhere to payroll and HR company policies. Year‑End & Accounting Complete year‑end payroll tasks as assigned. Prepare and post payroll journal entries in SAP for multiple entities. Reconcile payroll‑related accounts and support audit requirements. Provide biweekly invoices and backup to Accounting. Records Management & Data Privacy Maintain accurate payroll records and ensure confidentiality of employee data. Customer Service & Communication Respond to employee and manager inquiries promptly and professionally. Build strong relationships with payroll providers, HR, benefits, finance teams, and external agencies. Create and deliver clear, professional communications. Additional Duties Complete miscellaneous projects and tasks as assigned. Qualifications Bachelor's degree in Accounting, Finance, or related field, or equivalent experience. Certified Payroll Practitioner (CPP) preferred. Strong understanding of payroll processes, procedures, and best practices. Working knowledge of federal, state, and local labor laws and payroll tax regulations. Knowledge of accounting principles and practices. Proficient in ADP Workforce Now and Microsoft Office Suite ; SAP experience a plus. Ability to follow complex instructions and established workflows. Strong organizational, prioritization, and mathematical skills. Excellent verbal and written communication skills; ability to handle confidential information with discretion. Proven problem‑solving abilities and strong attention to detail. Ability to work collaboratively and meet strict deadlines. Self‑motivated with high accuracy and accountability. Commitment to providing exceptional service to internal and external stakeholders.
Pay:
