Job Description

Payroll Specialist Position Summary We are seeking a detail-oriented Payroll Specialist to join our team. This role is responsible for processing payroll accurately and on time, ensuring compliance with federal, state, and local regulations, and providing exceptional support to employees regarding payroll-related inquiries. The ideal candidate will have strong payroll experience, excellent organizational skills, and a commitment to accuracy. Key Responsibilities Process weekly, biweekly, semi-monthly, or monthly payroll for employees Review and audit payroll data for accuracy, including timecards, earnings, deductions, and taxes Maintain employee payroll records and ensure data integrity within payroll systems Process new hires, terminations, status changes, and compensation updates Administer wage garnishments, levies, child support orders, and other payroll deductions Reconcile payroll reports and prepare journal entries as needed Ensure compliance with federal, state, and local payroll regulations Assist with payroll tax filings and year-end activities, including W-2 processing Respond to employee questions regarding pay, deductions, taxes, and payroll policies Support audits and provide payroll documentation as requested Collaborate with Human Resources, Finance, and other departments to ensure accurate payroll processing Identify opportunities to improve payroll processes and efficiencies Qualifications 3+ years of payroll processing experience Strong understanding of payroll laws, tax regulations, and compliance requirements Experience processing multi-state payroll preferred Knowledge of garnishments, payroll taxes, and employee benefits deductions Proficiency with payroll systems such as ADP, Paycom, UKG, Workday, Ceridian, or similar platforms Advanced Microsoft Excel skills preferred Excellent attention to detail and problem-solving abilities Strong communication and customer service skills CPP certification is a plus Benefits Competitive salary Medical, dental, and vision insurance 401(k) with company match Paid time off and holidays Career growth opportunities Collaborative and supportive work environment Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
