Full-Time, On-Site Position Summary The Payroll Coordinator plays a key role in supporting payroll tax compliance and payroll operations across a multi-state organization. This Payroll Coordinator will serve as the subject matter expert for payroll tax administration, ensuring accurate setup, reconciliation, and compliance with federal, state, and local tax regulations. The Payroll Coordinator also supports payroll processing, employee onboarding, HR initiatives, and special projects while maintaining a high level of confidentiality and accuracy. Key Responsibilities of the Payroll Coordinator Payroll Tax Administration Lead payroll tax administration and setup, including SITW, SUI, and local tax codes across multiple states. Ensure accurate payroll tax calculations, reconciliations, and filings for a large employee population. Research and resolve payroll tax discrepancies, filing issues, and agency notices. Create and maintain organized filing and tracking systems for tax codes, agencies, and compliance documentation. Review and respond to correspondence from tax agencies. Perform manual payroll tax adjustments and reconciliations when required. Ensure compliance with all federal, state, and local payroll tax regulations. Support payroll tax cleanup efforts, audits, and special projects. Payroll Administration & HR Support Serve as backup support for biweekly payroll processing and administration. Maintain accurate employee records and profiles within the HRIS system. Support new hire onboarding, orientation, and benefits introduction processes. Ensure I-9 compliance and process E-Verify documentation. Act as the primary point of contact for employment verification requests. Collaborate closely with payroll, HR, and internal departments to support organizational initiatives. Assist with additional HR and payroll-related projects as assigned. Payroll Coordinator Qualifications 2–3 years of payroll and/or payroll tax experience. Proven experience with multi-state payroll tax compliance and reconciliation. Experience working directly with government tax agencies. Strong understanding of federal, state, and local payroll tax regulations. Experience with payroll systems such as Paylocity preferred. Strong Microsoft Excel skills preferred. Ability to manage confidential information with professionalism and discretion. Highly detail-oriented with strong organizational and problem-solving skills.
