Job Description

We're currently hiring for a Payroll Specialist on behalf of one of our clients in Pensacola, FL! Job Description The Payroll Specialist manages full-cycle, multi-state payroll for multiple properties in a high-volume, fast-paced environment. This role ensures accurate and compliant payroll processing, maintains detailed employee payroll records, supports audits and reporting, and provides responsive payroll support to employees and locations. The position offers the opportunity to contribute to process improvements and operational efficiency while working with modern payroll and timekeeping systems. Responsibilities Process and manage full-cycle, multi-state payroll using designated payroll and timekeeping systems for multiple properties, with employee populations ranging from approximately 20 to 200 per site. Process biweekly payroll accurately and on time in a fast-paced environment, ensuring all pay cycles run smoothly. Maintain and update employee payroll records, including exemptions, benefits, deductions, job changes, transfers, and other status changes. Ensure accurate calculation and processing of wages, bonuses, garnishments, paid time off (PTO) accruals, and tax withholdings. Research, investigate, and resolve payroll discrepancies and issues in a timely and professional manner. Oversee payroll compliance with federal, state, and local regulations, including 941 reporting and payroll tax filings. Prepare and distribute payroll via direct deposit or check, ensuring employees receive correct and timely payments. Generate payroll-related reports on a weekly, monthly, quarterly, and year-end basis, including reports on earnings, taxes, benefits, and accruals. Support internal and external audits by providing accurate payroll data and documentation, and ensure ongoing data accuracy and integrity. Respond promptly and professionally to employee inquiries related to payroll, benefits, and timekeeping. Maintain and update payroll systems to reflect employee changes in wages, benefits, PTO, and other relevant data. Assist with system updates, new property setup, and property closures as needed to support business growth and transitions. Provide payroll support across multiple locations, including currently supported properties and additional sites as expansion continues. Utilize payroll systems such as Workday (preferred), with flexibility to work with platforms such as ADP or UKG. Assist with payroll tax activities as needed, supporting accurate tax calculations and filings (preferred but not required). Contribute to process improvements and operational efficiency within the payroll function by identifying opportunities and implementing best practices. Demonstrate strong initiative, a collaborative mindset, and a proactive approach in daily work and team interactions. Perform additional payroll-related duties and special projects as assigned. Essential Skills At least 3 years of payroll experience required, with 5 or more years of experience preferred. Proven experience managing payroll in multi-state environments. 3-5+ years of experience managing multi-state payroll and/or a Bachelor's degree. Strong knowledge of payroll and timekeeping systems, including experience with platforms such as Workday (preferred), ADP, or UKG. Experience working in high-volume, fast-paced settings. Proficiency in Microsoft Office, particularly Excel, for reporting and data analysis. Working knowledge of federal, state, and local payroll tax regulations. Strong mathematical, analytical, and critical thinking abilities. Excellent verbal and written communication skills for interacting with employees, leaders, and external partners. High attention to detail and strong organizational skills to manage multiple pay cycles and priorities. Proven leadership and supervisory capabilities within payroll or related functions. Ability to manage multiple priorities and deadlines in a fast-paced environment. Collaborative team player with a proactive, solution-oriented mindset. Strong initiative and a team-oriented work style.
