Assistant Payroll and Back Office Support Specialist Non-Exempt /
Full-Time Position Mission:
The Assistant Payroll and Back Office Support Specialist plays a critical role in ensuring the seamless, timely, and accurate execution of weekly payroll and invoicing. This position supports all administrative aspects of payroll processing, employee onboarding, and back-office reconciliation.Key Responsibilities:
Payroll & Invoicing Processing Weekly Execution:
Support the timely and accurate processing of weekly payroll and client invoicing.Specialized Pay:
Accurately calculate and process certified payroll and per diem payments in compliance with federal, state, and local regulations.PO Compliance:
Review and verify timesheets and invoices to ensure strict adherence to client Purchase Orders (POs).Branch Coordination:
Maintain open lines of communication with various branch offices to verify hours, resolve discrepancies, and ensure payroll has been accurately processed.Onboarding & Compliance:
New Hire Onboarding:
Facilitate the administrative onboarding process for new employees, ensuring all tax forms, direct deposit details, and documentation has been completed.State Reporting:
File timely new hire reports with the appropriate state agencies as required by law.Unemployment Claims:
Process incoming unemployment claims, monitor status updates, and assist in gathering documentation to dispute claims.Wage Garnishments:
Fulfill legal wage garnishment requirements by accurately completing agency forms, adjusting employee payroll records, and documenting/transmitting withholdings to the proper authorities.Workers' Compensation:
Accurately assign worker's compensation class codes and rates to employees based on their job duties and locations.Qualifications & Skills:
Experience:
1-2 years of experience in payroll processing, or back-office administration (experience in construction, staffing, or skilled trades is a plus).Technical Skills:
• Proficiency inMicrosoft Office Key Competencies:

Absolute discretion when handling sensitive personal, financial, and medical information.Communication:
Strong verbal and written communication skills to effectively collaborate with remote branch offices and resolve employee inquiries.Multitasking:
