Job Description
We are seeking a dynamic and detail-oriented accountant/payroll specialist for our financial operations and payroll functions. The ideal candidate will possess a robust understanding of accounting principles, financial reporting, and payroll systems, driving efficiency and accuracy across all financial activities. Accounting & Finance Manage accounts payable and ensure timely vendor payments. Monitor accounts receivable and assist with collections. Perform monthly bank and credit card reconciliations. Record journal entries and maintain the general ledger. Prepare monthly financial reports and supporting schedules. Assist with month-end and year-end closing. Coordinate with the CPA for tax filings and annual financial statements. MSO & Intercompany Accounting Process and reconcile intercompany transactions between Apex Practice Management and each clinical entity. Allocate shared corporate expenses across entities. Track management fees and intercompany balances. Maintain documentation supporting intercompany transfers. Budgeting & Financial Analysis Assist in preparing annual budgets. Monitor actual results against budget. Prepare cash flow reports and forecasts. Analyze operating expenses and identify cost-saving opportunities. Provide financial reports and KPIs to leadership. Payroll Administration Process bi-weekly payroll accurately and on time through ADP. Maintain employee payroll records, deductions, garnishments, and direct deposits. Ensure compliance with federal, state, and local payroll tax requirements. Coordinate PTO, holiday, and leave balances with HR. Prepare payroll reports and reconcile payroll expenses. Assist with year-end payroll activities, including W-2s and payroll audits. Compliance & Internal Controls Maintain accounting policies and internal controls. Ensure compliance with company financial policies. Support audits and regulatory requests. Maintain vendor records, W-9s, and 1099 reporting. Systems & Process Improvement Maintain QuickBooks and accounting records. Improve payroll and accounting workflows. Help implement automation and process improvements. Assist with financial system integrations. Team Collaboration Work closely with HR regarding employee changes affecting payroll. Coordinate with Operations and Clinical Directors on payroll and budget questions. Provide financial support to leadership for strategic planning. Train and support administrative staff on financial procedures. Qualifications Bachelor's degree in Accounting, Finance, or related field. 5+ years of payroll and accounting experience. Experience with ADP payroll and QuickBooks. Strong Excel skills. Healthcare or multi-location organization experience preferred. Experience with multi-entity accounting and intercompany transactions preferred.
