Payroll Assistant Details:
Contract to Hire position $22.00 /hour First Shift (Monday through Friday from 08:00am to 05:00pm) This position is responsible for assisting with weekly payroll processing, maintaining employee records, onboarding new field employees, and ensuring compliance with payroll-related regulations. The ideal candidate is highly organized, enjoys working with numbers, and thrives in a fast-paced office environment where accuracy and confidentiality are essential. Assist with the preparation and processing of weekly payroll for field employees. Set up new employees in the accounting system and maintain accurate personnel files. Process new hire paperwork, including Indiana New Hire Reporting and E-Verify requirements. Verify employment eligibility, new hire status, and initial drug screening documentation. Prepare and maintain onboarding packets and employee documentation. Track and maintain ACA-related information and required reporting. Review timecards received from outside labor sources for accuracy. Prepare field employee expense reports for review. Complete employment verifications, garnishment requests, and other payroll-related documentation. Assist with union audits by providing requested payroll information and supporting documentation. Reconcile union withholdings and fringe benefits with the general ledger each month. Post payroll job cost transfers and employee benefit allocations within the accounting system. Prepare related company billings and assist with monthly accounting entries. Review monthly shop inventory adjustments and post updates to the accounting system.
Payroll Assistant Qualifications:
High school diploma or GED required; some college coursework is preferred. 1-2 years of payroll experience required; 3-5 years preferred. Experience working with computerized payroll or accounting systems. Strong understanding of employee onboarding processes, payroll administration, and recordkeeping. Knowledge of federal, state, and local employment reporting requirements is preferred. Excellent attention to detail with strong organizational and time management skills. Ability to maintain confidentiality and handle sensitive employee information. Strong mathematical, written, and verbal communication skills. Proficient in Microsoft Office, particularly Excel.
