Job Description

Position Summary We are seeking a dependable and detail-oriented Office Assistant to support our administrative and accounting functions. This role will primarily focus on billing support/accounts payable functions,payroll support & processing, along with general office support duties (e.g., filling & data entry). The ideal candidate will be organized, proactive, and comfortable working in a busy, paper-based environment that supports both our fabrication and field operations. Key Responsibilities Assist with billing, data entry, filing, invoice matching, and record maintenance. Support payroll processing and time entry verification. Enter and manage transactions within Sage 300 Construction & Real Estate (CRE) . Maintain and organize paper and digital files for accounting, purchasing, and job documentation. Support project managers and estimators with administrative tasks such as job setup, purchase order tracking, or billing documentation. Assist with reception duties — answering phones, greeting visitors, and routing calls or messages. Prepare correspondence, reports, and spreadsheets using Microsoft Office (Excel, Word, Outlook). Help ensure company records are accurate, complete, and properly filed. Perform other general office duties as needed to support operations.
Qualifications Required:
Strong organizational skills and attention to detail. Basic understanding of bookkeeping or accounting processes (AR/AP/Payroll). Proficiency with Microsoft Office (Excel, Word, Outlook). Ability to handle confidential information responsibly. Comfortable working in a paper-based workflow environment. Strong communication and interpersonal skills.
Preferred:
Experience using Sage 300 CRE or similar ERP/accounting systems. Prior experience in a construction, fabrication, or industrial environment. Pay:
$28.00 - $33.00 per hour
