Job Description

We are seeking a highly organized and detail-oriented Payroll Administrator with demonstrated union payroll experience to join our team. The Payroll Administrator will be responsible for accurately and efficiently processing both union and non-union payroll for multiple companies ensuring full compliance with collective bargaining agreements (CBAs), and applying in-depth knowledge of federal, state, and local payroll tax regulations. This role requires strong analytical skills, a thorough understanding of payroll tax calculations and deductions, and the ability to maintain strict confidentiality with sensitive employee information.
Responsibilities and Duties:
Union Payroll and Compliance:
Process union payroll in full compliance with applicable collective bargaining agreements, including accurate application of union wage scales, classifications, and negotiated benefits. Prepare and submit all required union reports, fringe benefit remittances, and contributions to union funds (health & welfare, pension, annuity, etc.) in a timely and accurate manner. Maintain detailed knowledge of multiple CBAs and ensure payroll is processed according to each agreement's specific terms. Serve as a point of contact for union payroll inquiries, working collaboratively with union representatives to resolve discrepancies.
Payroll Tax Administration:
Demonstrate comprehensive knowledge of all payroll tax deductions and calculations, including federal, state, and local income taxes, FICA (Social Security and Medicare), FUTA, SUTA, and any applicable local taxes. Ensure accurate and timely calculation, withholding, and remittance of all payroll taxes in compliance with IRS regulations and applicable state and local requirements. Review and file all required payroll tax returns and reports (e.g., 941, W-2, W-3, etc.) accurately and on schedule. Monitor and respond to changes in tax legislation, updating payroll processes and withholding tables accordingly to maintain ongoing compliance.
General Payroll Processing:
Process payroll on a regular basis, ensuring accurate calculation of wages, overtime, deductions, and benefits for all employee classifications. Verify and review timekeeping records, resolving discrepancies or issues in a timely manner. Maintain complete, accurate, and up-to-date payroll records in compliance with recordkeeping requirements. Respond promptly and professionally to employee inquiries regarding payroll, deductions, and tax-related matters. Collaborate with the HR department to ensure accurate and timely employee data updates. Prepare payroll reports for management review and analysis. Stay updated on changes in payroll regulations and adjust processes accordingly.
Education:
Associate degree in Accounting, Finance, or a related field (preferred)
Experience:
Minimum 5 years of proven experience as a Payroll Administrator or in a similar role, with required experience processing union payroll and submitting union reports in accordance with CBA requirements.
Certifications:
Certified Payroll Specialist (CPS), Certified Payroll Professional (CPP), or Fundamental Payroll Certification (FPC) (preferred)
Required Skills:
• In-depth knowledge of union payroll processing, CBA interpretation, and union reporting and remittance requirements. Comprehensive understanding of all payroll tax calculations and deductions, including multi-state and local tax obligations. Proficiency in payroll software and related tools (e.g., UKG, ADP, Paylocity). Strong mathematical and analytical skills with high attention to detail. Excellent organizational and time management abilities, with the capacity to meet strict deadlines. Ability to handle sensitive and confidential information with integrity. Effective communication skills to address employee inquiries and provide clear guidance.
