Job Summary:
The Harvard Public Schools seeks an experienced part-time individual to process the bi-weekly payroll and benefits for the School Department employees in the Town of Harvard and provide office support to the School Business Office. Reports to: Director of School Finance and Operations
Responsibilities:
  • Process the School Department's bi-weekly payroll; collect timesheets, review timesheets for accuracy and correct errors; answer payroll questions; code information and make calculations for payroll; maintain computerized database of payroll information for all employees; perform data entry work; balance totals to warrant
  • Interface with Frontline Absence Management system to collect data to pay substitute teachers and manage absence accruals for all school employees
  • Submit reports to federal and state agencies as required, including monthly MTRS reporting and completing employee MTRS retirement forms
  • Process, enter, and edit employee transactions in payroll system (Harpers) to include position changes and make edits to employees' personal information
  • Enter new or adjust existing wages, accruals, and salary encumbrances
  • Maintain accuracy of data in payroll system and absence management system to include employee pay, benefits, accruals, and attendance, and other data elements
  • General office duties and support
  • Other duties may also be assigned by the Superintendent of Schools or the Director of School Finance and Operations or their designee
Qualifications/Experience:
Associate's or bachelor's degree preferred Experience in payroll and accounting, municipal and/or school finance, or closely-related field preferred Computer literate with strong spreadsheet skills (Excel and Google Workspace), proficiency with Google Workspace Strong time-management skills and ability to meet specific deadlines Preference for knowledge and experience with the Harpers payroll system Must have excellent customer service skills and ability to handle highly sensitive personnel matters in a timely and professional manner Possess keen attention to detail and has ability to maintain detailed and confidential records as required by the position Proficient ability to communicate orally and in writing This job description provides a general overview of the primary responsibilities and qualifications for the position of Payroll Coordinator. 12-month part-time position; 2-3 days per week and 1 additional day per month Start date: August 24, 2026 or earlier (negotiable)
